About the role - Mō te tūnga

An Executive Assistant (EA) is the administrative smooth operator in the office of a Member of Parliament and this unique position takes this vital support role to a whole new level. Working for Katie Nimon MP, we are looking for te Ringa Āwhina (literally, 'helping hand') who is experienced in multi-tasking and navigating complex environments. Typically speaking, EA tasks are wide and varied. Based in the Parliamentary precinct in Wellington for 20-25 hours per week, you'll be working to support the machinery of Aotearoa New Zealand's democracy.

Joining the team will see you being a committed part of Katie Nimon's wider team who are based in the electorate office. The ability to build strong and trusted relationships is key to being successful in this role.

What you will bring to the role - Tō kete

You will be well-known for your agility, initiative, and attention to detail in responding to competing priorities. Things are often changeable here so an appreciation for the environment and the ability to be calm, proactive and flexible will see you well-placed to thrive. You will be able to uphold a high level of confidentiality on any matter with discretion and an earnest presence of mind.

It goes without saying that you'll have highly developed administrative capability, with the ability to work proficiently across the MS Office suite to be able to create, populate and manage databases, maintain files and uphold process and other systems as required.

As an employee of Parliamentary Service, you will be politically impartial in performing your role.

  • Ensure the Member knows where they need to be, and when, through the organisation and coordination of the Member's diary, and ensure the Member is in possession of the required materials for meetings, which may include Select Committee papers and House Box
  • Liaise with the Members in Parliament office staff around management of the Member's diary and itineraries
  • Ensure the Member is always well briefed for each engagement in the diary
  • Triage and assess requests for the Member, and present these where required for the Member's consideration
  • Respond to correspondence and emails, and escalate correspondence where required
  • Coordinate administrative activities in the Member's office including those for meetings, functions and events; including collating invitations, arranging facilities and catering
  • Prepare and circulate agenda, attending as required, taking minutes and following up on actions that arise from meetings
  • Support the member to organise their travel as required
  • Provide support for finance processes (such as budgeting, tracking, and P-card processes)

The pay band for the role starts at $65,630 per annum and appointments will be based on skills and experience. All employees who work for MPs are employed on an 'events based' agreement, with your employment linked to your MP. This role is based at the Parliamentary Precinct for 20-25 hours per week.
