Job Description - Executive Assistant - with Growth Opportunities

Purpose of the Role

The purpose of this role is to provide trusted, consistent, and exemplary support to the Managing Director in every aspect of their role. As the closest and most visible partner to the Managing Director, you will have a can-do attitude to ensure the smooth running of the office and champion a culture of excellence and service. 

Accountabilities of the Position

The deliverables and impacts you will be responsible for realising are:

  • Manage scheduling for the Managing Director.
  • Draft, review, and send communications on behalf of the Managing Director.
  • Organise and prepare for meetings, including gathering documents and attending to logistics of meetings.
  • Answer and respond to phone calls and communicate messages and information to the executive.
  • Prioritise emails and respond when necessary.
  • Coordinate travel arrangements.
  • Action-point and minute-taking for the MD and top network
  • Coordinating and managing all company-wide events and functions, incl. fundraising events
  • Keeping records for personnel management and assisting record-keeping with Finance 
  • Create, produce, and include documentation as required for the MD to be informed.
  • Maintain various records and documents for company leaders.
  • Document processes for the establishment of entities as required.
  • Undertake risk and opportunity reviews as required to maximize outputs.
  • Undertake any other projects or duties as required from time to time.

Person Specification

Qualifications and Knowledge                                                 

  • A bachelor’s degree is desired, or equally demonstrable experience of learning application.
  • Excellent computer skills, including the Microsoft Office Suite, Finance, and HR systems.
  • Demonstrable policy, process, and advanced system knowledge would be advantageous.

Experience 

  • Working in a small-to-medium-size business with multiple and variously focused workstreams
  • 3-to-5-years’ prior experience in supporting a senior executive OR team, or project.
  • Performing well under time pressure and intensity, continuing to add value.
  • Proven experience operating in a civil or construction company is desired.
