Export Shipping/Docs & Accounts Administrator

We are looking for a team player who is self-motivated and thrives on being organised. Our preferred candidate will have intermediate to senior expertise in export docs and shipping. They will also have some prior knowledge in accounts (banking, invoices, Xero etc) or be very keen to learn accounts which will be half of their role. This is ideally a 4-5 day per week, but we will consider other part timers for the right candidate.
Accounts

• Work with foreign exchange currencies and conversions
• Paying and sending invoices and chasing receivables
• Working with our international banking platform including trade finance f
• Bank reconciliations in Xero
• Monthly GST returns via Xero
• Entering data into spreadsheets
• Filing and office administration

Shipping

• Using shipping company websites to review, book, update and monitor vessels
• Work with Sales to review freight rates and discuss best options
• Updating daily spreadsheets and prioritising next jobs to be done

Export Docs

• Understanding the process, timing & platforms (Prodoc software, suppliers, clients, 3rd party Cedo/MPI/Chamber etc) of incoming data and what needs to be executed
• Understanding/processing docs based on export market requirements, including LC requirements
• Reviewing OMAR’s to make decisions for new markets
• Interacting with MPI if required
• Our candidate will ideally have a TSW declarant code which enables them to lodge export entries

Other

• Some basic Sales support
• Plus a few general office jobs chipping in to help the small tea
