Job Description - HVAC Office Administrator

  • Permanent full-time role (on-site).
  • Full Healthcare Cover, Phone, and Laptop, and free parking – our business is located near Stone Fields in Mt Wellington.

 

We are looking for an Office Administrator to join our Econair team. This is a unique opportunity to contribute to a company that values hard work, innovation, and a hands-on approach to problem-solving.

The Role:

Reporting to the Office Manager, you will support administrative and financial tasks to ensure our business runs smoothly. You are a positive, organized team player who is proactive and adaptable to interruptions. You can juggle and reassess priorities while maintaining a smile and a sense of humor. You are self-managing, easy-going, and able to stay calm under pressure.

 

Key Responsibilities:

  • Assist with accounts receivable and accounts payable management.
  • Intermediate to advance skills in Microsoft Office Suites (word, excel).
  • Assist with timesheets and payroll processing. Experience with Xero Accounting software an advantage but training can be provided for the right person.
  • Assist with invoicing and debt management.
  • Proficient and ability to accurately learn new computer software and systems.
  • Oversee vehicle-related tasks, including warrants, regos, and services.
  • Excellent accuracy and attention to detail while supporting the team in an administrative capacity.
  • Collaborate with the leadership to identify opportunities for SOP improvement and innovation. 
  • Ensure compliance with health and safety regulations and company policies.

 

About You:

  • You are a seasoned professional with proven experience, ideally within the air conditioning and refrigeration industry or a similar trade/construction field. You must be comfortable working in this environment.
  • With excellent communication and interpersonal skills, you can proactively build and maintain key relationships with stakeholders, clients, colleagues, and peers.
  • You have demonstrated administrator experience with a successful track record in this role.
