As an independent, NZ-owned and operated business, Jacks represents the world's leading manufacturers.

We have an exciting opportunity for a super star organiser to coordinate and take ownership of installations and service contracts, as well as providing admin support to our busy Service Department team. Based at our East Tamaki premises, this role oversees the efficient, timely and correct installation of machine sales throughout the country.

WHAT will you do?

In a nutshell, your primary focus will be on providing a high level of customer service and support, ensuring each customer is kept up-to-date about their installation including delivery schedule, site preparation and commissioning material requirements.

Other tasks include:

  • Ensure Technicians or Contractors are provided with full details on installations including any technical documentation required
  • Prepare commissioning certificates for every installation
  • In conjunction with the Service Coordinator, continually review the installation schedule to ensure the appropriate resource allocation for current and future installations 
  • Monitor installations to make sure jobs are completed on time and within budget, and to strict Health and Safety criteria
  • Communicate with internal staff across the Spare Parts and Service departments, regarding job sheet discrepancies and customer invoice queries 
  • Ensure the timely and efficient processing of all service debtor and creditors invoices, as well as customer credits
  • Prepare service costings and quotations for customers
  • As part of the Service Admin team, contribute to general admin tasks 

WHO are we looking for?

  • 3+ years in a scheduling or service coordination role, preferably in a similar environment
  • Need a real can-do, make-it-happen attitude with exceptional people and organisational skills
  • An understanding and appreciation of all things technical would be a big advantage
  • Possess good computer competency (intermediate level +) along with excellent written and verbal communication skills
  • Ability to think on your feet quickly, work with urgency and be solutions-focused 
  • Able to display confidence in delivering a high standard of customer service
  • A team player with a flexible attitude and an affable and unflappable personality 
  • Good planning and work structures with excellent attention to detail
  • Someone who understands the importance of accuracy and working to deadlines
