Ā tātou kōrero - Our story

The Whakatōhea Māori Trust Board (‘Trust’) is situated in Ōpōtiki, a coastal town in the sunny Bay of Plenty.

The Trust was established in 1952 and its primary role is to administer the assets of the trust on behalf of its beneficiaries and in accordance with the Māori Trust Board Act 1955.

The Trust’s long-term vision” Ko te kai hoki i Waiaua - to be the food bowl that feeds the world”, confirms the Trusts entrepreneurial spirit, grounded in matauranga (knowledge) which weaves together our future strategic aspirations of being well educated, healthy, socially connected, economically and commercially sound; and living in a thriving environment.

With the recent signing of the Whakatōhea Treaty Settlement, we are about to experience another period of growth. The Settlement will see the return of significant assets which will support numerous developments currently underway e.g. Whakatōhea Aquaculture program, the Ōpōtiki harbour development, and other land-based developments. It’s an exciting time to be a part of our continued success story.

 

Te āheinga - The opportunity:

The Medical Receptionist is based at the Whakatōhea Health Centre and is the first point of contact with patients and visitors. You will play an integral role in prioritising workflow and managing patient expectations, providing reception and administrative services for the Centre and our team. 

This role is a part-time maternity leave cover (26 hours per week, Monday to Friday) from July 2024 - March 2025. 

 

Ngā Kawenga me ngā Mahi – Duties & responsibilities: 

  • All visitors, patients, customers and health professionals are received promptly and courteously.
  • Patient records are maintained and kept as up to date as possible, including patient register, patient prompts, alerts, patient notes, transfer out notes and requests. 
  • Calls are answered promptly, and in a polite and helpful manner.
  • Accurate messages are taken, recorded, and directed to appropriate person.
  • Accurate patient appointments are made according to booking guidelines. 
  • Waiting room is monitored to ensure all patients have been arrived and a Nurse alerted if required. 
  • General filing, reception, and administrative duties. 

 

Ngā wheako me ngā pūkenga - Experience & Skills required:

  • Previous experience in a reception, administration or clerical role. 
  • Relevant qualifications in administration. 
  • Previous experience using MedTech. 
  • Competent with using computer software, client data bases, and similar applications (Medtech would be beneficial). 
  • Attention to detail, with a high level of accuracy and confidentiality. 
  • Excellent client services approach, with good communication, and interpersonal skills.
  • Understanding of H&S procedures and the ability to ensure these are followed and reported as needed.
  • The ability to uphold a standard of excellence & demonstrate our values base when working with our whanau, hapu and iwi.
