The University of Auckland is seeking a Maintenance Planner to join our facilities management team. In this pivotal role, you will be responsible for ensuring the optimal performance, safety, and compliance of our extensive portfolio of buildings, plant, utilities, and grounds.

You will produce planned preventative maintenance schedules, including scopes of work which will go out to contractors to work through. You will also lead the Planned Maintenance process with support from your manager and our experienced team of property professionals. Together, we play a key part in maintaining a world-class physical environment for our students and staff to thrive in.

This is a full-time (37.5 hours per week), permanent position. The salary range for this role is $90,000 to $100,000 dependent on skills and experience.

What You'll Do

Plan and Schedule: Optimise and produce planned preventative maintenance schedules, job plans, and work orders, ensuring they align with statutory compliance, building codes, and warranty obligations.

Audit and Monitor: Regularly audit our maintenance strategies and compliance records. You will work closely with our Building Warrant of Fitness (BWOF) management service provider to monitor the BWOF process and ensure all requirements are met.

Continuous Improvement: Lead maintenance optimisation reviews to balance workflow, minimise costs, and reduce risk. You'll assess maintenance strategies to ensure they are fit for purpose and that assets are maintained to legislative requirements and agreed standards.

Collaboration: Work collaboratively with the in-house maintenance management team, external contractors, and the IT department to ensure timely completion of tasks and best-practice use of our systems. You'll also assist the Asset Team with data analysis and the review of our database structure.

Data Management: As the guardian of our maintenance database (Maximo). You will work with the Data Analyst and the Assist the Asset Information Specialist to ensure all asset information and maintenance data is accurate, up-to-date, and readily available for compliance reporting. This includes recording changes to maintenance from new developments, and asset replacements.

You are a highly organised and detail-oriented professional with a strong understanding of planned preventative maintenance. You have a proven ability to manage and audit data within a maintenance management system. You're proactive, an excellent problem-solver, and a confident communicator who can work effectively with a range of stakeholders.

We are seeking | E rapua ana mātou

  • Qualifications: We have a preference for a degree in construction, property management, or engineering, but we will consider other relevant industry experience.
  • Experience: You'll need at least five years of experience in a regulatory or technical department. Experience within a university or a similar asset-intensive organisation is a definite bonus.
  • Knowledge: You must have a solid grasp of the Building Act and its compliance schedule requirements.
  • Systems Proficiency: Proven competence with computerised asset management systems (Maximo experience is a key advantage) is required, along with proficiency in Microsoft Office, particularly Excel.
  • Core Competencies: Strong analytical and problem-solving skills are a must, along with a proactive approach to identifying and implementing solutions.
  • Communication & Teamwork: Excellent written and spoken communication skills are essential, as is the ability to be a flexible team player who demonstrates sound judgement.
