Job Description - Marketing Executive - Events

About the role: 

The Marketing Executive - Events sits within the MDS Marketing team and reports to the Senior Marketing Manager. This role supports the planning, coordination, and delivery of MDS face-to-face and virtual events for prospective and newly enrolled students. Key events include Open Days, exhibitions, workshops, Graduation, and other marketing-led events throughout the year.  

 

The role is hands-on and operational, supporting all stages of event delivery – from planning and logistics through to on-the-day execution and post-event reporting. A high level of organisation, transparency, and attention to detail is essential, with all events managed through MDS’s workflow management system (Asana) to ensure clear ownership and visibility. 

 

Key Accountabilities: 

Include but are not limited to the following. 

 

Event coordination and delivery 

  • Support the planning and delivery of physical and virtual events across the annual events calendar

  • Plan, track, and manage event tasks, timelines, and dependencies using MDS’s workflow management system (Asana), ensuring work is clearly documented, visible, and kept up to date 

Event communications and assets 

  • Support the production of event-related marketing assets such as EDM banners, social assets, and printed collateral, working alongside internal designers 

  • Coordinate event communications with the Marketing team, including invitations, reminders, and follow-up messaging 

Stakeholder coordination 

  • Liaise with internal stakeholders across Marketing, Admissions (domestic and international), Academic teams, Student Services, Student Executives, and Alumni to ensure smooth event delivery 

  • Support contractors and suppliers to ensure events are delivered to agreed standards, timelines, and expectations 

Budgeting, administration, and documentation 

  • Assist with sourcing, collating, and coordinating supplier and contractor quotes 

  • Work within pre-approved event budgets and escalate risks, changes, or variances as required 

Reporting and continuous improvement 

  • Support post-event reporting, including data collation, asset collection, and insights 

  • Work with the Senior Marketing Manager to identify opportunities to improve event processes and experiences 

General 

  • Support the rollout and use of event-related technologies and virtual platforms 

  • Assist with basic training or guidance for staff using event platforms 

 

Who you are: 

  • Highly organised, with a strong ability to manage work transparently using workflow management tools (experience with Asana or similar platforms preferred) 

  • High attention to detail and strong organisational skills 

  • Ability to manage multiple tasks and deadlines in a fast-paced environment 

  • Strong time management skills and ability to self-manage workload 

  • Positive, proactive attitude with a willingness to be hands-on 

  • Experience in event coordination or delivery in an operational role (preferred)

This is a full-time, permanent role based at MDS in Auckland, offered in a flexible hybrid working arrangement (combining on-site and remote work).
