Job Description - Office Administrator - Dynamic Team

We are looking for a persistent Office Administrator to join our fast-paced team at Ovlov Marine Ltd in Auckland CBD, Auckland.

We are on the lookout for an enthusiastic and reliable Office Administrator to join our friendly family-owned marine business based in the heart of the vibrant Wynyard Quarter.

Ideally you will be a hard working professional able to undertake a variety of office support tasks and work diligently under pressure.

You should have a positive attitude and the desire to provide excellent customer service as well as enjoying being part of a team.

You will need strong communication skills and be comfortable working with a high degree of attention to detail and discretion and be happy to suggest new and effective ways to achieve better results for the day to day running of the office.

You should possess a high proficiency in MS Office and be good at multi-tasking and meeting deadlines.

You will be working alongside our experienced and valued Office Manager and would be an important part of a team of three Administrators supporting our long-established marine service and sales businesses located in Westhaven, Pine Harbour and Gulf Harbour.

General daily duties would include:

  • Handling incoming calls and other communications. 
  • Sorting and distributing communications in a timely manner.
  • Maintaining trusting relationships with suppliers, customers, and colleagues. 
  • Creating, maintaining, and entering information into databases. 
  • Creating and updating records ensuring accuracy and validity of information. 
  • Managing filing systems. 
  • General accounts payable duties.
  • Support and backup to other Administrators.
  • Maintaining office equipment and office supplies as needed. 
  • Arranging mobiles and telephone system support.
  • Assisting with organising events.
  • Organizing of the office and assisting associates in ways that optimize procedures.
  • Assisting with Office Manager and other departments with administration.
