About the role


As an Operations Administrator / Tour Dispatcher, you will be responsible for coordinating the day-to-day operational and administrative activities that keep our transport and tour services running smoothly. Acting as the central point of communication between drivers, tour teams, customers, and internal stakeholders, you will ensure schedules are executed efficiently and any disruptions are managed proactively.



This role combines administration, customer service, and operational coordination, making it ideal for someone who enjoys working in a fast-paced environment where no two days are the same. You will be responsible for managing bookings, preparing dispatch documentation, monitoring tour movements, and supporting the wider operations team to deliver exceptional service to our customers.



Key responsibilities



  • Coordinate and dispatch tours and transport services to ensure on-time departures and arrivals.

  • Monitor daily tour schedules and respond quickly to operational changes or disruptions.

  • Communicate with drivers, tour guides, customers, and internal teams regarding schedules and updates.

  • Manage bookings, reservations, manifests, and operational documentation.

  • Prepare daily run sheets and dispatch information for drivers and tour teams.

  • Provide administrative support to the operations team, including data entry, reporting, and record management.

  • Respond to customer enquiries via phone and email in a professional and timely manner.

  • Assist with fleet scheduling and resource allocation to maximise efficiency.

  • Maintain accurate records and ensure compliance with company policies and procedures.



What you offer
