Position Title: Portfolio Manager – Commercial Property

Job Purpose
Stonewood Group is a privately-owned property and investment group with a commercial portfolio valued over NZ$600 million. The Portfolio Manager – Commercial Property is responsible for overseeing and enhancing the operational, financial, and strategic performance of Stonewood’s 15–20 properties across the North Island. Reporting directly to the Head of Property, this role blends hands-on management with value-creation thinking to ensure alignment with the Group’s long-term growth strategy.

Key Responsibilities
Property Management & Asset Oversight
Maintain leasing schedule using Re-Leased management system
Prepare and implement property budgets, OPEX schedules, and CAPEX tracking
Oversee lease renewals, rent reviews, rights of renewal, and termination processes
Ensure accurate tenant recharges, make-good assessments, and recovery compliance
Coordinate valuations, site visits, and property reporting
Conduct regular inspections; document and follow up on required actions
Collaborate with legal teams on lease or occupancy issues as required
Proactively identify opportunities to improve Net Operating Income (NOI) and asset value
Tenancy Coordination & Onboarding
Act as first point of contact for new tenants; manage onboarding process
Ensure lease conditions are met prior to move-in
Coordinate key handover, fit-out periods, and property inductions
Manage make-good compliance and exit coordination
Track critical lease dates and approvals under Agreements to Lease
Leasing Support & Stakeholder Engagement
Support Head of Property in lease negotiations, proposals, and strategic lease planning
Liaise with external leasing agents and prospective tenants
Ensure leasing documentation is accurate and compliant
Foster positive tenant relationships to support renewals and retention
Contribute to leasing performance targets and KPI delivery
Facilities & Compliance Management
Oversee all planned/reactive maintenance and minor project delivery (e.g., lifts, canopy repairs)
Manage vendor relationships and subcontractor performance
Develop emergency response plans and uphold H&S compliance across sites
Monitor sustainability performance and energy usage
Review and renew facilities-related contracts and service agreements annually
Financial & Performance Reporting
Prepare and deliver monthly tenancy and facilities performance reports
Collaborate with Finance on OPEX recharges and expenditure tracking
Support strategic reviews, annual planning, and capex reporting

Ensure project and maintenance delivery within budget and timeframes
Maintain high tenant satisfaction and minimise arrears risk
Provide accurate, timely property reporting to senior leadership
Qualifications, Experience, and Skills
Required:
Bachelor’s degree or equivalent experience in Property, Real Estate, or Finance
Minimum 5 years’ experience in commercial property management or leasing
Proven financial acumen and lease negotiation ability
Familiarity with Re-Leased or similar property management systems
Desirable:
1–3 years in a leadership or portfolio oversight role
Experience working in private or entrepreneurial property environments
