Job Description - Receptionist/Office Assistant

Be the welcoming face and helping hand that keeps our Rotorua office running smoothly.

We’re looking for an organised, proactive and people focused Receptionist / Office Assistant to join our Rotorua team and play a key role in creating a professional, welcoming and well-supported environment for both our clients and our people.



This is a varied, hands on role where no two days are the same. One moment you’ll be greeting clients and coordinating meeting rooms, the next you’ll be helping with office set up, organising deliveries, supporting events, or assisting the wider team with day to day office tasks.

What you’ll be doing


Reception & Client Experience



  • Providing a warm, professional front of house experience for clients and visitors

  • Answering phones and managing general enquiries with confidence and care

  • Coordinating meeting rooms, catering and client hospitality

  • Managing courier deliveries and incoming/outgoing mail

  • Helping maintain a tidy, welcoming reception and client area



Office Support



  • Assisting with day to day office operations and administrative support

  • Keeping kitchens, communal areas and office spaces clean, stocked and organised

  • Completing internal deliveries and general office errands promptly

  • Supporting meeting and event set up/pack down, seminars and staff functions

  • Assisting with scanning, binding, copying and other ad hoc administrative requests

  • Helping with onboarding/offboarding tasks and office coordination activities



What we’re looking for


You’ll bring:



  • Previous experience in administration, reception or office support roles

  • A strong customer service mindset and professional presentation

  • Excellent communication and organisational skills

  • The ability to juggle multiple tasks and stay calm under pressure

  • A proactive, team focused attitude and willingness to pitch in wherever needed

  • Confidence using Microsoft Office (Word, Outlook and Excel)
