We are seeking a meticulous and organised Roster Scheduler to join our team. The ideal candidate will be responsible for creating and managing work schedules for employees, ensuring optimal coverage and compliance with working hours legislation covering our healthcare service users in the community.
This role requires strong attention to detail, excellent communication skills, good IT system skills, and the ability to handle multiple tasks efficiently.

Job Location: Tauranga, Bay of Plenty
Job Type: This is a full-time (40 hours) permanent position from Monday to Friday
Key Responsibilities:
- Schedule Creation: Develop and maintain employee work schedules, ensuring adequate coverage for all shifts and operational needs.
- Staff Coordination: Collaborate with Client Service Managers to understand staffing requirements and address scheduling issues or conflicts.
- Compliance: Ensure schedules comply with employment legislation, e.g. working hours, company policies, and WorkSafe NZ.
- Communication: Using our system CONNECT IT system to build rosters, notify employees of their schedules, any changes, and address any scheduling concerns promptly.
- Data Management: Maintain accurate records of schedules, time off requests, and shift swaps.
- Problem Solving: Address and resolve scheduling conflicts, last-minute changes, and employee availability issues.
- Customer Service: Remains calm and professional at all times, excellent customer service skills, especially when dealing with challenges of rosters with service users or staff.
- Reporting: Generate reports on scheduling metrics, such as overtime, staffing levels, and compliance.
- System Management: Utilise scheduling software to create and manage rosters effectively.
- Continuous Improvement: Identify opportunities to improve scheduling processes and implement best practices.
Qualifications:
- Education: High school diploma or equivalent; additional education in business administration, human resources, or a related field is a plus.
- Experience: Proven experience in a scheduling or administrative role, preferably in a similar industry.
Skills:
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in scheduling software and MS Office Suite.
- Ability to handle sensitive information with confidentiality.
- Detail-oriented with a problem-solving mindset.
- Knowledge: Familiarity with employment working hours law, company policies, and WorkSafe NZ related to working hours.
Working Conditions: This position requires working in an office setting with occasional remote work options.
Salary: Commensurate with experience and qualifications.
