Job Description - Senior Administrator (Approx 34 Hours P/W)

Rotorua Community Youth Centre Trust t/a Taiohi Tūrama - Rotorua Centre for Youth (Formerly known as Rotorua Youth Centre and Rotovegas Youth Health) is looking for a highly driven and experienced person to fill one of our two newly created Senior Administrator positions. 

RCYCT is a not for profit organisation with a solid income base, and is funded by Government agencies and other organisations through contracts and grants. We are a dedicated Youth One Stop Shop with the vision that all ‘Rotorua youth reach their full potential’.

The Senior Administrators play a key role in supporting the Business Manager to ensure all RCYCT business and administration functions run smoothly, and administration tasks are completed efficiently and effectively.  In particular, the Senior Administrators: 

  • Support the Business Manager to ensure all RCYCT business and administration systems and processes run smoothly, and administration tasks are completed efficiently and effectively. 
  • Support the Business Manager in financial management and administration. 
  • Support the Business Manager and Senior Leadership Team to ensure the smooth running of the organisation’s HR systems, processes and procedures. 
  • Support the Business Manager with payroll functions for the organisation.
  • Manages the preferred supplier system and manages external contractor relationships and services. 
  • Manage the facility including responsibility for building and property management and operations; leases, room bookings and charging; security; property maintenance; equipment maintenance; asset management and vehicle fleet management. 
  • Manage the IT and phone infrastructure including disaster and recovery, training and development, trouble shooting, IT licences, internet access and allocation of hardware. 
  • Maximise the backend functions of the Client Management Systems and other Applications to ensure accurate and appropriate data management, reporting and record keeping. 
  • Provide business and administration support for the CEO and Senior Leadership Team, and provide identified administration support for the teams. 
  • Provide administration support for the Health and Safety Lead and Committee and being responsible for Hazard Management, the Hazard Register and the Food Control Plan compliance. 
  • Provide administration support for the organisation’s communications, website and social media.
  • Provide a variety of organisational wide administration support. 
  • Provide back up for reception staff as necessary. 

NB. The two Senior Administrator positions will cover all of the above between them, each position having different primary and secondary responsibilities.

Our successful candidate will have at least 3 years’ experience in an Administrator or Senior Administrator role, and hold a Certificate in Business Administration or Business Management (or similar). They will have excellent financial management skills including proven experience in accounts payable and receivable, and will be proficient in the use of Xero. 

The ability to manage external contractor relationships and experience in asset management will be essential. It will also be essential that you have the ability to work within Client Management Systems and that you are IT savvy. An interest and willingness to take an active part in the organisation's Health and Safety Committee will be required. Excellent organisational and administrative skills is a must.
