Senior Administrator - PHCL

Are you a highly organised, proactive, and experienced senior administrator? We have an exciting opportunity to welcome a capable and resourceful individual into our team as Senior Administrator.
This role goes beyond typical administrative tasks, you will be an integral part of the team, providing support to our Deputy CEO and leadership team. You’ll be at the heart of our operations, ensuring they run smoothly and efficiently by anticipating needs, juggling shifting priorities, and managing a dynamic workflow.
Adaptability is key; you will need to manage multiple priorities, anticipate needs before they arise, and respond swiftly in a fast-paced environment. Your ability to navigate shifting deadlines with confidence, combined with strong initiative, professionalism, and keen attention to detail, will make you an invaluable asset to the team. We are looking for someone who is always ready to step in and support where needed, ensuring smooth operations and effective collaboration.
This role is for 20 hours per week, worked across four days from 8:30am to 2:00pm. From time to time, there may be occasional tasks required outside these core hours.

This role is based at our Pinnacle head office in Hamilton, alongside our leadership team.
Nga kawenga matua: Key responsibilities
· Provide high-level administrative support to the Deputy CEO and Leadership Team, ensuring seamless daily operations.
· Coordinate and manage meetings by preparing and distributing reports, communications, agendas, and meeting materials to relevant parties. Record minutes, track action items, and ensure timely follow-ups. Proactively anticipate and resolve scheduling conflicts.
· Maintain the document control system, by editing, proofing and templating documents, scheduling reviews and keeping it up to date.
· Plan and coordinate events and milestones, managing logistics, budgets, vendors, guest lists, and on-site operations while ensuring smooth execution and post-event evaluation.
· Support project coordination by tracking key deadlines and actions and helping ensure timely and effective delivery.
· Proactively take initiative to streamline processes, introduce efficiencies, and support a high-performing leadership team.
· Provide flexible support across a range of operational tasks and projects, helping the management team maintain excellent business operations and team coordination.

· Minimum 5 years' experience in a senior administrative role.
· Outstanding organisational and multitasking skills, with a proactive approach to problem-solving and the ability to prioritise tasks to meet deadlines.
· Self-motivated with a solutions-focused mindset, ensuring seamless business operations.
· Meticulous attention to detail and a high level of professionalism in all communications.
· Exceptional communication skills, both verbal and written, with a high level of emotional intelligence and the ability to engage effectively with a wide range of people.
· Proficient in Office 365 and experienced with video conferencing platforms such as Microsoft Teams and Zoom.
· Ability to manage shifting priorities and deadlines with confidence and composure.
· A collaborative team player who is adaptable, resourceful, and always ready to contribute.
