We are seeking a talented and experienced administrator to join our aftermarket service division team in Wellington.  Reporting to the Branch Supervisor, the focus will be on offering the highest levels of service admin support to our branch/region team and our clients in the region in terms of all sales and operation admin activities. 

Some of the key responsibilities of the role will include, but not limited to 

  • Liaise, coordinate and provide necessary admin support on all service sales and operation activities, including scheduling work for all regions.
  • Follow up with operations team in completing documentation work on job sign off, invoicing, purchase orders, service agreements and other sales support activities.
  • You will be the first point of contact for all contractors, subcontractor and other relevant stakeholders in coordinating necessary admin support that will aid in the execution of operations.
  • Coordinate with clients/customers, follow up on collections, work sign off, update of work from technician for invoicing, timesheets preparation etc.
  • Timely attendance to customer account queries and aiding in the review and managing of daily planner.
  • Preparation of pertinent documentation including timesheets, purchase orders and customer reports.
  • Co-ordination of service Control & maintenance database and preparing reports and analysis for review. 

We are seeking applications from experienced administrators who have completed a customer service or an equivalent qualification with a minimum 5 years’ experience in a similar coordination or admin role with a service industry. This role requires excellent communication skills, be an expert in MSoffice package, with a can-do attitude, and people skills. You are someone who is able to handle pressure whilst maintaining a high standard of work and work independently with minimum supervision. 

This role requires an enthusiastic, self-motivated individual who can display high levels of initiative and enjoy working within our small, specialised team.
