Job Description - Team Administrator Christchurch

Be the operational engine behind a high-performing team.



We’re looking for an experienced professional to join our Christchurch office. This is a pivotal role, not just administrative support, but the person who keeps the team organised, on track, and operating at a high standard.


Our Christchurch team is home to a dynamic mix of Quantity Surveyors delivering complex projects across the South Island. They need someone who can anticipate needs, manage competing priorities, and bring structure to busy days - particularly when deadlines tighten and bids are due.



This role suits someone who thrives in momentum, takes genuine ownership of their workload, and knows how to “turn the dial up” when it matters.



What you’ll be responsible for:


Operational & Team Support



  • Act as the primary operational support for the Christchurch and Queenstown teams

  • Work closely with our Business Operations Lead, aligning with national administrative processes, contributing to shared resourcing coordination, and supporting consistency across offices.

  • Take ownership of workflow coordination and ensure key deliverables are met

  • Anticipate bottlenecks and proactively manage priorities across multiple directors and project teams


 


Bid & Proposal Coordination



  • Track and coordinate bid opportunities and submission deadlines

  • Collate, format and finalise proposals to a professional, polished standard

  • Work confidently in Word and PowerPoint to produce high-quality, brand-aligned documents

  • Support the team to meet tight deadlines, particularly during “crunch time”

  • Maintain document control, version management and submission integrity


An understanding of how bids work, including coordination, compliance, and submission processes - is highly valued.


 


Financial & Systems Support



  • Manage invoicing, reporting and expense processing using ProjectWorks

  • Book travel and ensure expenses are captured accurately

  • Maintain digital file structures and support smooth project administration


 


Office & PA Support



  • Provide executive-level support to 3 Directors (calendar, scheduling, document preparation)

  • Coordinate meetings, agendas, minutes and follow-ups

  • Host clients and ensure the office presents professionally

  • Support team events and training coordination

  • Act as Health & Safety representative for the office


 


What We’re Looking For


This is not an entry-level admin role. We’re looking for someone who:



  • Demonstrates strong ownership of tasks from start to finish

  • Can confidently juggle multiple priorities and re-prioritise when required

  • Has exceptional formatting skills and a sharp eye for detail

  • Is highly proficient in Microsoft Word and PowerPoint

  • Understands how to work to deadlines and lift performance during busy periods

  • Communicates clearly and confidently with both internal teams and clients

  • Brings initiative and forward-thinking, you see what needs doing before being asked


Experience in professional services, construction, consultancy, or bid environments will be highly regarded.



Attributes, Skills & Qualifications:



  • 5+ years in an administrative, operations, or executive support role

  • Advanced Microsoft Office skills (Word and PowerPoint essential)

  • Experience coordinating bids or complex document submissions preferred

  • Strong organisational and time management skills

  • Financial administration experience is advantageous

  • High level of discretion and professionalism
