Job Description - Admin Assistant

Location: Whanganui, NZ


Employment Type: Part-time (24 hours a week) | In-office

About the Role


You’ll be a key part of the local CardioScan team in Whanganui, supporting the smooth day-to-day running of the practice. This is a varied role combining administration, clinical support, and customer service, ideal for someone who enjoys responsibility, patient interaction, and being the go-to person in a small team.



You’ll act as the vital link between patients, clinicians, suppliers, and systems—ensuring communication is clear, workflows are seamless, and patients feel supported at every step. Full training will be provided across clinical and financial systems.


 


Key Responsibilities



  • Front desk and patient support (phone, email, in-person)

  • Managing referrals, bookings, and patient records

  • Downloading sleep monitors and handling data uploads

  • Cleaning, assembling, and maintaining monitoring equipment

  • Monitoring and managing inventory and stock

  • Processing sales of sleep-related accessories

  • Supporting clinicians and day-to-day clinic operations



Responsibilities may evolve as the service continues to grow.


 


About You


Must-haves



  • Minimum 1 years’ experience in office administration or a similar role

  • Positive, proactive, and supportive team player

  • Well-presented and confident engaging with a range of stakeholders

  • Strong computer literacy

  • Excellent attention to detail and organisational skills

  • Warm, professional communication style with patients and clinicians

  • Ability to work autonomously and manage competing priorities


Nice-to-haves



  • Experience in healthcare, diagnostics, or MedTech

  • Familiarity with Xero, CRM, or patient management systems
