Job Description:

We are seeking an enthusiastic and organized individual to join our team as an Office Administrator.  The successful candidate will play a key role in ensuring the smooth operation of our office environment and supporting our staff members.

Responsibilities include but are not limited too- 

  • Manage and maintain office supplies inventory, anticipating needs and ordering supplies, as necessary.
  • Greet and assist visitors to the office.
  • Organize and schedule meetings, appointments, and travel arrangements for staff members.
  • Maintain electronic and hard copy filing systems, ensuring accuracy and confidentiality.
  • Assist with the preparation and distribution of reports, presentations, and other documents.
  • Coordinate office events and activities, such as team meetings, lunch, and celebrations.
  • Monitor and maintain office equipment, troubleshooting issues and arranging for repairs as needed.
  • Assist with basic accounting tasks, working with our colleagues overseas.
  • Uphold office policies and procedures, ensuring compliance with company standard 
  • Maintain office supplies and look after all office related jobs
  • Looking after all Staff product orders and sales.
  • Supervising office security and safety measures
  • Assisting with supporting the Brand Director on a day-to-day basis
  • Assisting with incoming and outgoing shipment logistics.
  • General HR administration. 
  • Health and Safety management, ensure all safety standards are met, including first aid certificates are kept valid
  • Handling any other tasks as they arise on a day-to-day basis
  • Assisting the Brand Director with his calender, and planning.

 

Requirements:

  • Proven experience in an administrative role, preferably in an office environment.
  • Experience with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
  • Excellent communication and interpersonal skills, with the ability to interact with internal and external staff at all levels. 
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in record-keeping
  • Ability to work independently with minimal supervision and as part of a team.
  • Some flexibility as evening meetings may be required with our overseas colleagues
