About Us:
The Waikato Family Centre's core business is Maternal and Child Health caring for families/whanau of the community and the greater Waikato who are struggling with concerns they are having with their babies and under two year olds.
Position Available: Fixed-term Office Manager & Funding Coordinator, 30 hours per week, Monday-Thursday, 6 months maternity leave.
Start date: 1 July 2024.
Key Responsibilities:
- A friendly frontline interface for the Centre.
- Manage the day to day running of the office.
- Respond to emails and enquiries via phone, email, and Facebook.
- Provide effective administration support.
- Create and maintain data within the organisation.
- Process invoices in Xero.
- Provide support for diary management, meetings and appointments, stationery, and correspondence.
- Prepare fortnightly payroll using ThankYou Payroll software.
- Prepare reports when required.
- Design flyers and posters for advertising.
- Supporting the Centre Manager in fundraising activities and implementation of the annual fundraising plan for the Waikato Family Centre, including assisting where required with event planning and implementation, email communications/soliciting donations.
- Assisting in motivating and facilitating volunteer supporters at fundraising events, to maximise fundraising opportunities.
- Social Media communications and reporting for the Waikato Family Centre.
- Maintaining and keeping the Waikato Family Centre Facebook/Instagram pages active, with the view of growing engagement as advised.
- Writing and coordinating four annual newsletter appeals, (including layout and photography).
- Producing marketing communications and content as required.
- Organise monthly Young Parent Evenings.
- Minute Secretary for Trust Meetings.
- Organise funding applications and accountabilities.
- Any other administrative tasks as reasonably required.
Skills and Experience:
- A minimum of two years office management experience.
- Demonstrated time management and priority management skills.
- A passion for excellent client service.
- A high level of attention to detail.
- Experience using Microsoft Word, Excel, Canva and Xero.
- Strong experience managing ad-hoc requests, handling multiple projects at once.
- Superior verbal and written communication skills and a can-do attitude.
- Have a genuine passion for Maternal and Child Health.
