Job Description - Part-Time Accounts Administrator And Funding Coordinator

Ōtepoti Dunedin Whānau Refuge (ODWR) 

Accounts Administrator and Funding coordinator - Part Time  (20 hours) 

Key Responsibilities:

Accounts Administrative Management:

  • Manage daily administrative operations, including scheduling, (such as vehicle servicing etc) and correspondence. 
  • Proficient in zero and Payroll 
  • Reconciliation banking and xero 
  • Maintain accurate records and documentation for all administrative activities.
  • Prepare reports and communicate effectively with the management team and external partners.

 

Financial Administration:

  • Oversee day to day financial tasks, such as processing invoices, payroll, and scheduling. 
  • Ensure compliance with financial policies and procedures.
  • Prepare financial reports, track expenditures, and monitor financial transactions, including financial donations and assist with annual financial audits and ensure timely submission of financial documents.

Funding and Grant Writing:

  • Research potential funding sources, including grants, donations, and sponsorships.
  • Craft compelling grant proposals and funding applications to secure financial support from local and national donors and timely follow ups of all applications. 
  • Maintain relationships with donors, partners, and stakeholders.
  • Track funding application deadlines and ensure timely submission.
  • Prepare post-funding reports and updates for funders.

Key Skills and Qualifications:

  •  Proficient in Xero and Payroll Smartly Processes 
  • Proven experience in administrative roles, preferably in a non-profit setting.
  • Demonstrated success in grant writing and securing funding.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in financial management and budget oversight.
  • Ability to work collaboratively with team members, volunteers, and external partners.
  • Commitment to the mission of supporting women and children affected by domestic violence.
  • Ability to maintain a positive can-do attitude in a changing environment.
  • Willingness to support our crisis line along with colleagues.
  • Current Drivers License
