Accounts Payable Specialist

• Supervises, coordinates, and reviews the work of outsourced accounting service provider with regards to Accounts Payable, Advances to Employees and Vendors
• Acts as business partner to business units related to Employee claims and advances
• Supports overseeing daily accounting activities required to maintain the general ledger with regards to Accounts Payable, Advances to Employees and Vendors
• Keeps organized records for area of responsibility

JOB FUNCTION:

• Accounts Payable
  • Main person in charge in the inflow of documents and output monitoring of outsourced service provider, including the actual record keeping of those documents
  • Monitors KPI of outsourced service provider in terms of AP SOW
  • Prepares and analyzes list of invoices for payments (15th and 30th batch)
  • Responsible for ensuring local and foreign vendors are paid timely
  • Creation of BPI Credit Card Monitoring Sheet based on SOA for pay-out
  • Creation of payment proposal for other payments (BPI CC SOA, BIR, employees, non-trade, & other incidentals)
  • Closing of AR Clearing Account
  • Closing of advances account to expense
  • Initiates vendor reconciliation for accounts payable and advances clean-up
  • AP clean up for long outstanding payables
  • Analyzes balance sheet accounts and perform needed accounting postings, including bank reconciliations, internal reconciliation, adjustments, etc.
  • Meeting with vendors to discuss financial and operational issues
• Accounts Payable Review
  • 1st level review of employee expense claims and liquidations
  • 1st level review of BPI Credit Card SOA
• Analysis and Reporting
  • Preparation of reports (AP aging and advances aging reports)
  • Analyzes balance sheet accounts and perform needed accounting postings, including bank reconciliations.
• Others
  • G&A support- Monitoring of Health & Wellness, and Departmental Team Building based on employee claims and liquidations
  • Meeting with vendors to discuss financial and operational issues
  • Supports inventory count (CBU, CKD and Spare Parts)
  • Supports annual fixed asset physical verification
  • Prepares/ updates policies and desk procedures on accounts payable and employee expense claims
  • Supports audit in area of responsibility (internal audit, statutory, BIR etc.)

MINIMUM QUALIFICATIONS:

Education and Certification

• BS Accountancy graduate
• Preferably CPA License holder

Experience

• At least 3 years of experience in general accounting, accounts payable, financial planning, analysis and reporting

Skills and Competencies

• Profound finance knowledge, highly analytical and problem solver
• Knowledgeable in accounting standards and regulatory pronouncements
• Experienced in ERP Systems (Oracle, SAP, Hyperion, Microsoft 365)
• Proficient with MS Office Applications (Excel, Word and PowerPoint)

Physical requirements/Other Requirements

• Well-disciplined with proven ability to manage multiple assignments under extreme pressure while meeting tight deadline schedules
• Effectively communicates direction, commits people to action, and conveys complex information in easily understood formats
