Job Description - Assistant Facilities Manager

About the job Assistant Facilities Manager

Salary: 25,000 - 35,000 PHP a month

Reports To: VP for Operations , Executive Operations Manager

Primary Relationships: Internal Team

Date: May 2024 Schedule: 9:00 PM - 6:00 AM PH Time

Responsibilities:

Manages maintenance activities for the upkeep of buildings, landscapes, vehicles, assets, and overall office welfare in Clark CO Headquarters. It includes preventive maintenance and reactive maintenance.

Develop and implement policies and procedures for the effective management of the facilities

Leading the building operations team who manages a team of safety custodians, maintenance technicians, drivers, and housekeeping personnel. You are responsible for training these staff members, scheduling, and ensuring that they are meeting all necessary safety standards

Ensuring a comfortable and secure environment for all the staff within the vicinity. This involves monitoring of the air, water, and light quality, and responding to emergencies that may arise.

Oversee the operations of the organization's facilities, including cleanliness, security, maintenance, and transportation

Manage vendor relationships and negotiate contracts to ensure the organization is receiving quality services at competitive prices

Ensure compliance with safety regulations, building codes, and environmental standards

Coordinate with the Internal Management Team and other departments to ensure that facilities are meeting the needs of the organization

Develop and maintain relationships with key stakeholders to ensure that the organization's facilities are meeting their needs

Support bookkeeping and budgeting procedures for the department

Organize and monitor the status of all related permits for the building

Qualifications:

Bachelor's degree in Business Administration, or any related field

At least 2-3 years of experience in FACILITIES, LEASING, or ADMINISTRATIVE MANAGEMENT including experience managing cleanliness, security, and transportation

Strong leadership and management skills, with the ability to motivate and develop a team of professionals

Strong project management skills, with the ability to manage multiple projects simultaneously

Excellent communication and interpersonal skills, with the ability to work collaboratively with other departments and stakeholders

Knowledge of safety regulations, building codes, and environmental standards

Experience negotiating contracts and managing vendor relationships

Strong analytical and problem-solving skills

Proficient in Microsoft Office and CRM Software
