Job Description - HR ADMINISTRATOR - MANILA

Glass Lewis is a growing company looking to fill a vacant position of HR Administrator to support our HR department in the Philippines. You will be the first point of contact for employees and 3 rd parties in the region. This is a fast-paced job, and we are looking for a quick learner with excellent communication skills for this position.

Work Arrangement and Schedule

  • Type of Employment: Full time, permanent
  • Reports to: Senior Manager, Human Resources (Philippines)
  • Day shift (8am to 5pm) and can be adjusted depending on business need.
  • Hybrid work set-up, to report to the office at least twice a week.
  • Within Metro Manila work location.
  • Glass Lewis Bonus eligibility: While this position is eligible for the standard 13 th month bonus, it is not eligible to participate in the Glass Lewis Bonus Program.

The main responsibilities of a HR Administrator - Manila include:

Recruitment and Onboarding

  • Provide recruiting support which includes preparing and posting job ads based on headcount requirement.
  • Coordinate and set interview schedules between applicants and hiring managers as needed.
  • Work with the Senior HR Manager in facilitating the pre-boarding orientation and the complete list of pre-employment requirements to all new hires.
  • Ensures monitoring and chases candidates for completion and submission of their pre-employment requirements based on their target start date.
  • Coordinate with pre-employment service providers to ensure timely endorsement of candidates and delivery of complete and accurate results within the agreed service level agreement.
  • Pre-Employment Medical (PEME)clinics - manage endorsement of candidates to undergo medical tests to secure fitness to work clearance or certificate.
  • Background verification partner - to initiate and manage background checks and results.
  • Healthcare/HMO service provider - membership enrollment, account activation, HMO card availability and delivery.
  • Payroll Servicing Bank - Prepare the endorsement of payroll account opening of new hires. Coordinate the issuance and delivery of bank ATM cards or ePaycards.

Timekeeping and Records Management

  • Employee timekeeping and attendance point of contact. Track leaves and absences including the utilization of vacation and sickness leaves.
  • Manage and maintain various HR records such as employment contracts and compliance documents.
  • Responsible for maintaining, reconciling, and timely updating of internal databases and paper files with relevant employment information.
  • Perform documentation and organization works of HR documents and employee 201 files. HR, Payroll and Benefits Administration
  • Act as the first point of contact of employees on HR-related issues, benefit inquiries, including the healthcare/HMO account enrollments during hiring and terminations upon separation.
  • Escalate employee issues and conflicts to Senior HR Manager.
  • Responsible for the issuance and replacement of bank ATM cards or ePaycards for new hire and current employees.
  • Ensures adherence and compliance with labor and legal mandates and requirements.
  • Monitor and remind the managers on the timely submission of performance appraisals of their direct reports during probationary and project-based periods.
  • Assist payroll by providing information on benefits, attendance, and leaves.
  • Facilitate exit management and offboarding for employee separation and termination.
  • Coordinate travel arrangements for employee in the Philippines.
  • Manage facilities and office related tasks.
  • Other administrative responsibilities that may be assigned.

It will also be favorable if you are knowledgeable in:

Qualifications and Competencies

  • Bachelor's degree. HR certification preferred.
  • Minimum of 2 years of proven experience as an HR Administrator or Generalist.
  • Good computer skills and proficiency with Microsoft Office and its latest applications.
  • In-depth knowledge and understanding of local labor laws and regulatory requirements.
  • Ability to apply the aptitude of HR, compensation and benefits design principles, methodologies, concepts, and principles.
  • Experience with HRIS (Human Resources Information Systems) and ATS (Applicant Tracking Systems) is an advantage.
  • Excellent written and verbal communication skills with the ability to work collaboratively across diverse teams.
  • Ability to uphold confidentiality and handle sensitive information with discretion.
  • Possesses good problem-solving skills, best practices, and technical expertise.
  • Flexible team player and the willingness to learn.
  • Results driven who can prioritize tasks to meet deadlines.
  • Meticulous attention to details to achieve accuracy in data entry and record-keeping.
  • Resilient mindset with the ability to manage criticism constructively and maintain a positive attitude.

The successful candidate must submit the following pre-employment requirements:

  • Scanned copy of valid NBI Clearance
  • Accomplished Medical or PEME Slip (covered by KMC)
  • 2x2 & Half body picture with white background
  • Proof of government numbers (TIN, SSS, Pag-ibig, & Philhealth).
  • Photocopy of 2 valid IDs - front & back (government-issued)
  • Clear copy of your Birth Certificate (PSA or NSO)
  • Accomplished HR Forms & Promissory Note (will be provided by KMC's Onboarding Team)
