Job Description - Lead Operations Administrator

Insight Global is looking to bring on an Operations Admin Lead for our Healthcare division in the Philippines!

The Operations Administrative Specialist plays a pivotal role in ensuring smooth and efficient operations within the organization.

This position involves providing administrative support to various departments, managing office processes, and facilitating communication between teams. The Operations Administrative Specialist is responsible for handling a range of tasks to support day-to-day operations and contribute to the overall success of the company.

What You'll Do:

  • Lead in managing calendars, scheduling meetings, coordinating travel arrangements, booking hotels and communicating to the team members for validation of information.
  • Maintain accurate records and documentation, including updating and organizing files, information gathering and confirming details.
  • Lead in with the preparation and distribution of communications, and presentations.
  • Serve as a point of contact for internal and external contractors, responding to inquiries and directing them to the appropriate person or department.
  • Coordinate logistics for events, meetings, and conferences, including room reservations, catering, and audiovisual setup.
  • Assist with procurement processes, including purchasing supplies, equipment, and services as needed.
  • Assist with monitoring and tracking expenses, invoices, and budgets to ensure accuracy and compliance with company policies.
  • Support human resources activities, such as onboarding new employees, maintaining personnel records, and coordinating employee events.
  • Assist with facilities management tasks, including office maintenance, repairs, and supplies inventory.
  • Collaborate with cross-functional teams to streamline processes, improve efficiency, and implement best practices.
  • Participate in special projects and initiatives as assigned by management.

What You'll Need to Succeed:

Skill Set:

  • Bachelor's degree in Business Administration, Operations Management, or related field preferred.
  • Proven experience in an administrative support role, preferably in operations or a similar environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational skills with the ability to multitask and prioritize workload effectively.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Ability to work independently with minimal supervision and as part of a team in a fast-paced and dynamic environment.
  • Knowledge of office management procedures and best practices.
  • Flexibility to adapt to changing priorities and deadlines.
  • Experience with project management tools and software is a plus.

Compensation:

BASIC SALARY

*Salary offer will be based on experience and qualification; Salary will increase based on annual performance appraisal, and role succession/transition.

**Computed at Forex of $1=P56ss)
