Job Description - Project Management Analyst


JOB DESCRIPTION
Job Title: Project Management Analyst (Remote) Exempt
The Project Management Analyst (PMA) is a standard operations position responsible for supporting multiple, cross-functional technical projects varying in complexity, scope, and duration with respect to technical and logistical issues under the guidance of a Project Manager / Director.  Responsible for development of specific project deliverables.  Supports project manager/director in the following:  planning, managing, coordinating, implanting, and delivering business-driven project solutions.  Consults with Project Leaders and Project Teams on specific project deliverables. Responsible for developing solid working knowledge of project management processes and tools used by Seabrook Technology Group to accurately support financial and status reporting needs of projects.  Tracks schedule,  cost, and or work order data and provides reporting to a wide variety of stakeholders and decision-makers. Assists Project Managers/Directors in providing accurate forecasting of project expenditures.  Will manage the department /project budgets as well as successfully employ the use of resource management strategies.   This individual will possess strong time management and communication skills and will assist management in keeping the team closely aligned to timelines, deadlines and in staying on track with weekly tasks. This individual maintains composure in high-pressure scenarios and is comfortable and adept in making last minute changes as needed.  Excellent verbal and written communication skills are a must along with the ability to maintain discretion while working with highly sensitive information.  This individual will have a proven track record of an ability to meet deadlines related to OKRs.
GENERAL ACCOUNTABILITY
Key Responsibilities:
  • Responsible for providing project management support to the Project Managers /Director(s) in managing all areas to the project management lifecycle.
  • Responsible for Eliminating Bottlenecks:  Gatekeeping and monitoring the flow of multi-platform communications to and from the Project Managers/Director(s) as well as the Project Teams.
  • Project Management:  Aiding in and ultimately ensuring the timely completion of delegated projects.
  • Expense Management:  Track expenses, process reimbursements, and maintain financial records.  Monitor budget allocations.
  • Strong ability to communicate in writing and verbally.  Must be able to make professional presentations using metrics/data.
  • Works with People & Culture to assist with the onboarding of new hires as needed.
  • Project Management:  Prepares and produces project management reports, timelines, and documentation as directed by the project or program manager. Supports creation of viable work plan resulting in the on-time completion of the projects within the program. Ensures the successful completion of assigned project deliverables & milestones through development, recommendation, and implementation phases in a critical/complex environment.
  • Financial Management: Supports the project planning effort, including specific planning deliverables. Assists with all aspects of a project. Provide ongoing project support through performance of project scope definition, cost/benefit analysis, development of schedules, vendor selection and contract negotiation, and project delivery. Follows and promotes existing PMO processes, policies and procedures.
  • Scope and Risk Management:  Assists in identification of risks and issues as well as creation of mitigation strategies. Participates in documentation and administration of processes for change orders/exception requests.
  • Relationship Management: Establishes effective, collaborative working relationships with external entities and internal organizations to maximize project efficiency, responsiveness, and resource allocation.
  • Other Duties - as assigned on an as-needed basis.
Travel Required:
  • The PMA should be prepared to travel up to 10% of the time.
  • Travel required based on:
    • Customer requirements
    • Company Events
    • Resource needs
Time Zone Requirements:
  • 75% of work time is USA EST time zone.

EXPERIENCE / QUALIFICATIONS

Skills and Abilities Required:
This role requires the resource to be patient, meticulous and logical in their work and capable of prioritizing tasks for themselves and for the Project Manager /Director to whom they report. Minimum Qualifications:
  • Ability to occasionally delegate to people (including remote resources) and work under pressure.
  • Some formal project management or financial training preferred.
  • Fluent in written and spoken English.
  • Ability to understand changes in business process and technology.
  • Knowledge of project planning, scheduling, reporting, and business need justification process and methodology
  • Critical thinking skills are required.
  • Ability to work autonomously required.
  • Ability to adapt to change quickly and work within a diverse, global, cross-functional team environment.
  • Comprehensive understanding of company policies, procedures and financial obligations that would apply to projects.
  • Expert in standard server software applications such as e-mail, spreadsheet, word processing, database, as well as financial, work and asset management, and scheduling applications
  • Excellent organizational and time management skills.
  • Strong communication skills (technical and non-technical) and interpersonal skills.
  • Strong writing/grammar skills are a must!  Must be able to demonstrate strong grammar skills in a pre-employment assessment.
  • Strong experience with MS Office (Word, Powerpoint and Excel), MS Outlook, Wrike, MS Teams, and MS Outlook.  Must be able to demonstrate strong excel and solid command of computer skills in a pre-employment assessment.
  • A proven track record of success in Project Management.
  • A proven track record of success working in project / team management (preferably in technology implementations).
  • Experience with report writing and using metrics to create graphs, charts and dashboards to tell a story.
Preferred Qualifications:
  • Wrike, Microsoft Project or utilizing MS Excel for task management is a big plus!
  • 3+ years of supporting multiple Project Managers/Directors with technology implementations preferably over different time zones.
  • Strong customer service skills.
  • Demonstrated ability to simultaneously manage multiple projects in parallel and manage a wide array of internal and external stakeholders.
 
  • Required:  3+ years of experience in operations, finance, technology, or related field; bachelor’s degree in project management, engineering, computer science, business administration, information technology or related field preferred.

WORKING CONDITIONS: Office working environment subject to sitting at a desk for long periods of time, bending, crouching, or kneeling at files, pushing/pulling of file drawers, reaching in all directions, and prolonged periods of time working at a computer terminal.

Seabrook Technology Group is a remote-first company so there will never be any concerns of being asked to return-to-work to a physical office space.  The position will be 100% remote.
