Job Description - Records Management Specialist

Administrative Assistants (Administration & Office Support)

  • Manages Document/Records management library and storage system. 
  • Oversees office and store administrative services (lease & utility management).

Functions

  • Manages records/hardcopies safekeeping, retention, library/storage capacity including disposal to support DITO DMS (Document Management Systems) and procedures to determine current effectiveness and efficiency. 
  • Point of Contact and adept in MSS automation process and capabilities in DMS and Admin services (Lease & Utilities Management, PR, GR, RFP, DMS, etc.)
  • Handles and resolves document end users’ concerns to identify problems and issues.
  • Ensures security and integrity of master documents.
  • Ensures the company complies with applicable laws and regulations regarding data privacy and document management.
  • Overall POC for DITO HQ and Regional Offices
  • Manages record management storage facility (upkeep, available space, stacking)
  • Prepares reports and provides analysis for the future-proofing of storage facility.
  • Collaborate and interface with different teams in the company.
  • Classify and categorize documents based on agreed company DMS policies.
  • Performs other related duties as assigned.

Employment Standards

  • BS in 4-year Business Management course/Mass Communication
  • Background on Document Management System
  • 3 years’ experience in property/office management and administrative services (lease & utility management)

Job Skills & Qualifications

  • Good Excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Excellent organizational skills and attention to detail.
  • Basic understanding of laws and regulations regarding document management.
  • Good analytical skills.
  • Excellent creative and problem-solving skills.
