Job Title: Administrative Coordinator Healthcare Services Administration (ABA Therapy)
Location: Remote (PST Timezone) Work Schedule: Monday Friday 9 AM to 5 PM PST Role Overview:
We are seeking a highly organized and proactive Administrative Coordinator to support our ABA Therapy services team. This role is critical in managing scheduling recruiting coordination appointment conversions and providing customer service and payroll support.
The ideal candidate will have a passion for meticulous scheduling and a track record of effectively managing tasks to completion. Due to the sensitive nature of the information handled maintaining strict confidentiality and adherence to HIPAA guidelines is mandatory .
Key Responsibilities:
- Scheduling Coordination: Manage staff availability within our scheduling system to efficiently match staff with new cases based on optimal fit and logistical viability.
- Recruiting Coordination: Keep job postings current and reflective of open positions; schedule and coordinate interviews with candidates and relevant stakeholders.
- Convert Appointments: Proactively follow up on unconverted appointments to ensure timely scheduling utilizing text messaging and email to communicate with staff.
- Customer Service & Payroll Support: Address and resolve staff inquiries and issues relating to payroll and other employment concerns in a timely and thorough manner.
- Privacy and Compliance: Ensure all personal and health information is handled in compliance with HIPAA standards; complete mandatory HIPAA training.
Requirements:
- Demonstrated experience in administrative roles involving highlevel scheduling and coordination.
- Strong proficiency in office and scheduling software with the ability to adapt to new technologies quickly.
- Excellent organizational skills with a keen attention to detail.
- Superior communication skills (both written and verbal).
- Ability to manage multiple tasks and priorities in a dynamic environment.
- Must complete and pass HIPAA compliance training.
Desirable Attributes:
- Prior experience in healthcare or therapy services administration particularly within ABA Therapy.
- A strong affinity for problemsolving and process improvement.
- Experience in handling confidential and sensitive information.
