Job Description - Sales and PM Admin Assistant

Hi! We’re Smartsourcing, looking for a Sales and Property Management Associate who can work with us full-time and on-site!

Where?📍 Crown 7 Business Centre, Pope John Paul II Ave, Cebu City, Cebu

As a Sales and Property Management Associate,

You will play a crucial role in providing administrative support to both our client’s sales and property management teams. This position requires a candidate with strong organizational skills, excellent communication abilities, and the ability to multitask effectively in a fast-paced environment.

Some of the things we expect you to do are to:

  • Assist in the preparation of sales and rental agreements, leases, and other real estate documents.
  • Coordinate property viewings, inspections, and open houses for both sales and rental properties.
  • Maintain and update property listings on various platforms, including the MLS and rental websites.
  • Respond to inquiries from clients, tenants, and vendors in a timely and professional manner.
  • Coordinate maintenance and repairs for rental properties, communicating with tenants and vendors as needed.
  • Process rental applications, conduct background checks, and prepare lease agreements.
  • Assist in the collection of rent payments and follow up on overdue payments as necessary.
  • Provide general administrative support to both the sales and property management teams, including answering phones, calendar management, email management, and scheduling appointments.

Requirements

We would need you to be or have the following:

  • Previous experience in real estate, property management, or administrative support roles.
  • Experienced in AgentBox, Box+Dice, Property Tree, PropertyMe, and RealHub.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with real estate databases and CRM systems is a plus.
  • Ability to work effectively in a fast-paced and dynamic environment.
  • Customer service-oriented mindset with a focus on client satisfaction.

It would be awesome if you are or also have:

  • Experience in the Australian real estate industry is a huge plus.
