The new SEAM organization integrates Safety, Environment & Asset Management activities, with a broad geographical footprint, that will support Shell's business & assets around the world.
The vision of SEAM is to provide capability across the spectrum of Safety, Environment and Asset Management with:

• shaping the future ways of working through introducing to the business new technology and news way of working, including e.g. digital, SBO, and real-time, data-driven, end-to-end optimization and risk management, but also global programs like Human Performance Based Safety Philosophy.

• helping the businesses build their improvement plans and provide support to execute them
• sustaining performance through strong core capabilities (internal, including SBO & contingent) through building expertise and a company-wide consistent approach

The purpose of the role is to support the Businesses (UP/DS/IGNE/PT/GF) to deliver Shell's Goal Zero (No Harm & No Leaks) ambition, by providing accurate and quality assured safety performance data. It is also about driving a cultural change around reporting by empowering the business to understand what lies behind the data, and by supporting their own team to become trusted business partners who can hold up the mirror and challenge.
The incumbent will be expected to play a key role in driving change to optimize the reporting systems and processes and providing the performance data and insights required to support the Goal Zero journey.
The TRACK Admin will be part of the VP TAO organization
The VP TAO will be accountable for maximizing integrated business value across the organization. Technical Asset Operations (TAO) is a key enabler for the accelerated delivery of Shell's Asset Management System and will help us to reach our ultimate potential in Downstream Manufacturing, Integrated Gas and Upstream. TAO provides high quality and cost-competitive technical resources who are not physically present at site yet are an integral part of asset teams delivering value through end-to-end AMS work processes.
Purpose & Accountabilities:
The primary objective of TAO TRACK admin role is to act as the bridge between vendor's data and Shell payment system. The administrator must work within precise limits and have high standards of accuracy to ensure right & timely payment of Shell contractors. This position is responsible for the Track master data and management of contract vendors, seeking cost control, transparency, and contract compliance.
Track is interdependent with IT, CP and Finance. Support end to end daily TRACK process to ensure it is successful and seek continuous improvements. Support a 'First Time Right' culture and behaviors from stakeholders. Excellent communication with internal/external site stakeholders and global teams are of key importance.
Customer-centric role - stakeholder management includes:

• Interfacing with vendor timekeepers (multiple from each Contractor), able to provide direction and coach them on site rules and their contract terms and conditions
• Interfacing with Maintenance, Construction, Projects, Production, Facilities, CP, AP, Security, planners, schedulers, and site management to coordinate technical assurance and gain awareness of site changes
• Strong written and spoken communication skills to ensure messaging is delivered and received clearly and is not open to interpretation
• Ability to hold stakeholders accountable via influence rather than direct control and comfortable raising issues to management if necessary

Data Driven:

• Performs detailed fact-based analysis of assigned problems to provide clear definition of opportunities and issues.
• Use multiple data sets to determine if the outcome falls within the approved parameters
• Ability to data mine and interpret mass amounts of data for trending, analytics and root cause analysis
• Expertise to identify, promote and contribute to a wide range of business opportunities ability to identify cost savings/contract improvement opportunities
• Utilize and maintain multiple sources of data e.g. - SharePoint, One note, Track, Outlook
• Provide additional support for special events such as turnarounds, major maintenance, start-ups and shut down
• Comfortable managing high volume, high pressure situations

Dimensions
The role is expected to help Asset based ensure contract compliance, cost control, and end-to-end manpower & material management process delivery.
Challenges

• Shift work following operating hours of the Downstream operation units across the globe. The role primarily involves the remote support to the downstream operating units/sites across diverse time zones.
• Generally, the shift starts by 3:30PM Manila Time and may change based on business requirement.
• Virtual working with key stakeholders for day-to-day operations
• Adapting existing work processes to meet Shell's Global Asset Management Standards.
• Involves Analyzing large volumes of data and comparing against measurable targets
• Interfacing with multiple stakeholders/Leadership
• Key activity of the role is to apply investigative mindset to using several sources of data to intervene in over payment, system abuse and misalignment.
• Contribute to building a strong working relationship between offshore and on-site Track team (one team, across the globe)

Skills & Requirements

• Any Engineering Degree with 2+ yrs. experience in Data management especially data related to contractor time sheet, Contractor billing & payroll, requisition to pay, and site-based operations in Oil & Gas Industry with track record of demonstrating initiative, and problem solving.
• Strong Analytical skill- Able to understand and look for details in the data
• Strong Communication & Stakeholder Management Skill - Experience in managing multiple stakeholders and their priorities
• Ability to manage changing priorities, while performing daily tasks, able to adjust and assist where needed.
• Ability to work in a team setting supporting and/or leading activities.
• Highly driven, delivery focused, tenacious, 'can-do' attitude
• Knowledge on SAP is added advantage
• Knowledge on use of Track is added advantage
• Experience with Timekeeping is highly preferred
• Must be highly proficient in Excel. Data analysis is a huge part of the job and therefore must be able to create pivot tables and utilize formulas.
• Follow the sun support Americas Eastern Standard Time 7am-3pm
• Strong knowledge on MS Tools
• Knowledge on Power-BI is an advantage
