Job Description - Client Coordinator

Administrative Assistants (Administration & Office Support)

Position Overview:

Your role will work closely with the Client Success Manager to help build and maintain key client relationships. Utilising your excellent communication and organisational skills, you will support the Directors in the engagement of key clients throughout their journey with Enmasse.

We are seeking a motivated and organized Client Coordinator with a track record in supporting clients and collaborating with multi-disciplinary teams to deliver major projects. An understanding of Learning and Development (L&D) principles, particularly the role of training facilitators, would be advantageous. 

The ideal candidate will have experience in managing Survey Monkey surveys for workshop feedback, extracting insightful reports, and possess excellent communication skills to engage effectively with senior L&D professionals and facilitators. Proficiency in virtual workshop platforms such as Teams and Zoom is essential, including the ability to troubleshoot audio and video issues, manage breakout rooms, and utilize polling functions. Additionally, a high level of proficiency in Microsoft Office is required.

Key Responsibilities:

  • Contribute to client relationship management and delivery of positive client experience through effective stakeholder engagement (online and via email). 
  • Serve as the main point of contact for key clients, addressing inquiries and providing updates on project progress.
  • Support senior L&D professionals and facilitators to ensure seamless delivery of training programs.
  • Oversee project scheduling and preparing facilitator delivery content for workshop sessions (onsite and F2F) including creation of Mentimeters, Jamboards etc.
  • Assist in the planning and execution of virtual workshops, including setting up slides, managing audio and video settings, troubleshooting technical issues, and facilitating breakout rooms.
  • Oversee facilitator support - trouble shooting advice/support to facilitators and resolution of technical issues with internal team.
  • Set up Survey Monkey surveys for workshop feedback, ensuring accurate data collection and timely reporting.
  • Work with Data Analyst to develop reports from survey responses, analyzing feedback and providing recommendations.
  • Identify and implement ongoing efficiencies in facilitation management process.
  • Manage and foster facilitator relationships - conduct quarterly ‘check-in’ facilitator calls and share regular delivery feedback 
  • Create and share updated facilitator agreements/contracts. 
  • Maintain accurate records of client interactions and project details, ensuring all information is up-to-date and easily accessible.

Qualifications:

  • Bachelor's degree in Business Administration, Human Resources, Education, or related field.
  • Excellent organizational and prioritization skills, with the ability to manage multiple tasks and deadlines effectively.
  • Experience in a client-facing role engaging with senior stakeholders, with exceptional communication skills, both verbal and written
  • Excellent attention to detail 
  • High level of proficiency in virtual workshop platforms such as Teams and Zoom, including advanced features like breakout rooms and polling functions.
  • Proficiency in setting up and managing Survey Monkey surveys and extracting meaningful insights from survey data.
  • Strong skills in Microsoft Office, with the ability to create visually appealing and engaging presentations using Power Point.
  • An understanding of Learning and Development principles and the role of training facilitators would be advantageous.
