Job Description - Admin Associate

Hi! We're Smartsourcing, looking for an Admin Associate with Photo Editing Skills who can work with us full-time and on-site! Earn up to P28,000! Where???? Crown 7 Business Centre, Pope John Paul II Ave, Cebu City, Cebu As an Admin Associate with Photo Editing Skills, Your purpose is to support the Operations team, fundamentally the Receptionist and Bookings Coordinator and Operations Manager in the day-to-day administrative functions of our client. You will be responsible for all support and background work in the Operations team, including, proofing and editing floor plans tracking changes, creating overlay products in Illustrator, creating monthly statistical reports on booking numbers, liaising with photo & video editors, sending completed marketing materials to clients and taking bookings when required and as directed by the Operations Manager. You will also undertake any additional tasks and assist with reasonable additional responsibilities or tasks as delegated by their direct manager. They may be required to be flexible with their working conditions or conduct other tasks for the company. Some of the things we expect you to do are to:
  • Quality controlling floor plans received from our editors daily, including checking for any changes and then actioning changes via editing in Illustrator (or similar)
  • Create 'overlay' products for our clients, including adding 'location droppers��
  • Manage sent finalised photos, floor plans, videos and copywriting to Agents/Clients
  • In liaison with the Receptionist & Bookings Coordinator, book, reschedule and cancel photographer and videographer appointments via email
  • Load completed videos to the YouTube channel, send them to clients and mark them as 'sent' on the Video
  • Liaise with the marketing team in regards to content enquiries, bookings and sending off of finished collateral
  • Respond to ad-hoc email enquiries from clients
  • Allocate Editors to daily photography jobs and ensure the Daily Jobs List is completed and accurate within the timeframe
  • Work with Acuity Scheduling (soon to be Areyo) booking system to accurately update and record all bookings for Photographers and Videographers
  • End-of-Day reporting
  • Monthly job statistics
  • Check photographers' jobs have been uploaded in the afternoon
  • Ensure that access to properties has been organised for Photographers (keys to collect or on-site collection) prior to the following day's jobs
  • Provide additional support to all Clique Creative staff including Photographers, Operations Manager, Business Development Coordinator, Marketing Department & Directors daily
Requirements We would need you to be or have the following:
  • Excellent, clear written English communication, including tone and grammar
  • Experienced in Adobe Photoshop and Illustrator
  • Awesome calendar management skills
  • Experience using Google Drive and Gmail essential
  • Customer Service Experience is beneficial due to the social nature of this role
  • Confidence in using Mac programs and IOS
  • Strong organisational skills
  • Exceptional attention to detail
  • Ability to prioritise tasks according to importance in a fast-paced environment
  • Enjoy interacting with others
  • Professional communication skills and interpersonal skills
  • The ability to work autonomously and as part of a strong team
