Job Description - Real Estate Sales and Marketing Admin Associate

Hi! We're Smartsourcing, looking for a Real Estate Sales and Marketing Admin who can work with us full-time and on-site! Where???? Crown 7 Business Centre, Pope John Paul II Ave, Cebu City, Cebu As a Real Estate Sales and Marketing Admin, You will play a crucial part in supporting our client's real estate sales and marketing operations by efficiently managing administrative tasks and facilitating communication between internal teams and external clients. Some of the things we expect you to do are to:
  • Assist in creating and disseminating sales and marketing materials, including brochures, presentations, and promotional content
  • Support the sales team by preparing sales contracts, proposals, and other documentation accurately and promptly
  • Maintain and update customer relationship management (CRM) systems with client information, sales activities, and communications
  • Respond to customer inquiries and provide support to resolve issues or address concerns in a timely and professional manner
  • Collaborate with the sales and marketing teams to generate leads, qualify prospects, and drive sales opportunities
  • Prepare regular sales and marketing reports, tracking key performance indicators (KPIs) and analysing results to inform decision-making
  • Coordinate with real estate agents and brokers to prepare and finalize sales contracts, purchase agreements, and other documentation accurately and promptly
  • Maintain and update property listings on multiple platforms, ensuring accuracy and consistency across all marketing channels
  • Manage customer relationship management (CRM) systems to track leads, client interactions, and sales activities effectively
  • Conduct market research and analysis to identify market trends, competitor activity, and potential growth opportunities
  • Respond to inquiries from clients, prospective buyers, and other stakeholders promptly and professionally, providing information and assistance as needed
  • Prepare regular reports and presentations on sales and marketing performance, analyzing key metrics and providing insights to inform decision-making
  • Coordinate with external vendors and service providers, such as photographers, videographers, and staging companies, to ensure timely and high-quality deliverables
  • Provide administrative support to real estate agents and brokers, including scheduling appointments, managing calendars, and organizing property tours
  • Collaborate with internal teams, including sales, marketing, and operations, to streamline processes, improve efficiency, and achieve business objectives
Requirements We would need you to be or have the following:
  • Experienced with Australian real estate software such as Pricefinder and Agentbox
  • Previous experience in administrative or support roles within the real estate industry, with knowledge of sales and marketing principles and practices
  • Strong organizational skills and attention to detail to manage multiple tasks and deadlines effectively
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, colleagues, and external partners
  • Proficiency in using office software such as Microsoft Office Suite, CRM systems, and MLS (Multiple Listing Service) platforms
  • Ability to work independently and as part of a team in a fast-paced environment, with a proactive and solutions-oriented approach
  • Creative thinking and problem-solving abilities to develop innovative marketing strategies and solutions
  • Flexibility to adapt to changing priorities and business needs in a dynamic and competitive market
It would be awesome if you are or also have:
  • Bachelor's degree in business, marketing, communications, or a related field preferred
