Job Description - Administrative Associate

The Administrative Associate, in addition to their primary responsibilities of overseeing budgets, issuing payments, organizing office events, and handling high-level correspondence, plays a pivotal role in seat leasing management. They ensure the smooth operation of the office environment by greeting and assisting visitors, maintaining courteous and professional communication channels through phone, and email, and proactively anticipating the needs of others to guarantee a seamless and positive experience. This multifaceted role underscores the importance of their contribution to both administrative duties and the overall efficiency of seat leasing operations.

Responsibilities

Serve as the main point of contact for tenant leasing inquiries, renewals, and communication, ensuring prompt resolution of concerns and fostering positive tenant relationships. Facilitate smooth communication between tenants and management to address issues effectively.

Support Sales in the leasing process by preparing documents and coordinating property visits for prospective tenants.

Maintain meticulous records of leases, agreements, and correspondence for compliance and easy retrieval.

Manage office equipment and furniture maintenance, addressing tenant requests and scheduling routine upkeep.

Stay informed on leasing regulations and industry standards to ensure compliance.

Provide administrative support to the Admin Manager and Sales Team, including scheduling and responding to inquiries.

Implement and maintain accurate inventory records, conducting regular audits and updates to track changes effectively.

Skills & Qualifications

Strong organizational skills and attention to detail.

Excellent written and verbal communication abilities.

Proficiency in budget management and financial record-keeping.

Ability to multitask and prioritize tasks effectively.

Professional demeanor and customer service orientation.

Familiarity with seat leasing concepts and practices is a plus.

Education & Experience

Bachelor's Degree in Business Administration and other related courses.

Preferably 2+ years of experience in a similar senior administrative role (Inventory, Purchasing, Facility Management)

Experience in facility management, managing payments, budgets, and expenditures.

Ability to manage office operations and oversee maintenance staff.

In-depth knowledge of administrative recordkeeping practices.

30% Night Differential Pay

The standard night differential pay in the Philippines is 10%. Our rate is 2x higher than that of other companies.
