Job Description - Administrative Manager

As an Administrative Manager, you will be responsible for ensuring that all office processes run smoothly and efficiently. Your tasks will involve creating and implementing administrative rules and procedures, managing budgets, and assuring office business compliance. In addition, you will lead and supervise a team of administrative staff, conduct performance assessments, provide direction, and build a collaborative work environment to meet organizational goals.

Responsibilities

Develop and implement administrative policies, procedures, and systems to streamline workflows, enhance efficiency, and improve service delivery.

Oversee budget planning and financial management for office operations, including expense tracking and cost-saving initiatives.

Strategize and oversee the acquisition and renewal of all necessary permits and licenses, ensuring full compliance with regulatory requirements.

Develop and implement strategic plans for the effective management of office facilities, optimizing utilization and cost-effectiveness.

Lead efforts to maintain a safe, clean, and productive work environment, overseeing maintenance schedules and emergency response protocols.

Collaborate with architects, contractors, and interior designers to plan and execute office renovations and expansions.

Lead contract negotiations with vendors and service providers, leveraging market knowledge and industry trends to secure favorable terms.

Develop and oversee asset management policies and procedures, ensuring accurate tracking and reporting of office assets.

Collaborate with finance and accounting teams to develop depreciation schedules and financial reporting mechanisms for assets.

Conduct regular performance evaluations for administrative staff to assess their productivity, efficiency, and adherence to company policies and procedures.

Address any disciplinary issues or conflicts within the administrative team promptly and impartially.

Serve as a mentor and role model for junior administrative staff, providing guidance and support to help them succeed in their roles.

Skills and Qualifications

Comprehensive understanding of administrative principles, policies, and procedures.

Knowledge of regulatory requirements and processes for acquiring permits and licenses.

Familiarity with facilities management, including safety protocols and emergency response procedures.

Strong negotiation skills and experience in contract management.

Leadership skills to effectively manage and motivate a team of administrative staff.

Excellent communication and interpersonal skills for liaising with stakeholders and resolving conflicts.

Problem-solving abilities to address complex administrative challenges.

Strategic thinking and planning skills to develop departmental policies and initiatives.

Ability to mentor and coach junior staff to enhance their performance and professional development.

Education & Experience

Bachelor's degree in Business Administration, Management, or related field.

At least 5 years of experience in office management or related administrative roles, with a minimum of 2 years in a leadership position.

Proven track record in procurement, contract negotiation, and vendor management.

Previous experience in regulatory compliance and obtaining permits and licenses.

Demonstrated experience in budget planning and financial management.

30% Night Differential Pay

The standard night differential pay in the Philippines is 10%. Our rate is 2x higher than that of other companies.
