Job Description: We are seeking a highly organized and professional individual to join our healthcare organization as an Executive Assistant. As a Healthcare Executive Assistant, you will provide essential administrative support to our executive team, ensuring the efficient operation of our healthcare facilities and the delivery of high-quality patient care. Responsibilities:
- Serve as the primary point of contact for the executive team, managing incoming calls, emails, and correspondence with patients, staff, and external stakeholders.
- Coordinate executive calendars, schedule appointments, and arrange meetings, ensuring timely attendance and effective time management.
- Prepare and edit documents, reports, presentations, and other materials for executive review and distribution.
- Assist with healthcare administration tasks, such as patient scheduling, medical record management, and insurance verification.
- Coordinate internal and external communications, including drafting memos, announcements, and newsletters.
- Maintain confidentiality and handle sensitive patient information in compliance with HIPAA regulations.
- Manage travel arrangements, accommodations, and itineraries for executives as needed.
- Organize and facilitate executive-level meetings, conferences, and events, including logistics, catering, and audiovisual support.
- Assist with special projects, research initiatives, and process improvement efforts as assigned by the executive team.
- Collaborate with other departments and healthcare professionals to ensure seamless communication and workflow coordination.
Requirements:
- Previous experience as an executive assistant, administrative assistant, or similar role in the healthcare industry is preferred.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent verbal and written communication skills, including professional phone etiquette and business correspondence.
- Knowledge of healthcare terminology, regulations, and compliance standards, including HIPAA, is highly desirable.
- Detail-oriented mindset with a high level of accuracy in data entry and document preparation.
- Ability to work independently with minimal supervision and maintain composure in fast-paced environments.
- Bachelor's degree in healthcare administration, business administration, or a related field is preferred but not required.
