ABOUT THE ROLE
We are seeking a highly organized and proactive Executive Assistant to join our team. As an Executive Assistant, you will provide administrative support to ensure efficient and smooth business operations. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks simultaneously. The ideal candidate should be comfortable working in a virtual environment and possess a strong sense of initiative.
Responsibilities:
Administrative Support:
- Manage and organize email correspondence.
- Schedule appointments, meetings, and events.
- Prepare and organize documents, reports, and presentations.
- Handle basic bookkeeping tasks and expense reports.
Communication:
- Act as a liaison between team members, clients, and external partners.
- Answer and screen phone calls in a professional manner.
- Draft and edit correspondence, emails, and other communications.
Data Management:
- Maintain and update databases, spreadsheets, and other records.
- Perform research tasks and compile relevant information as needed.
- Handle data entry and maintain accuracy of information.
Travel Coordination:
- Make travel arrangements, including booking flights, hotels, and transportation.
- Create itineraries and ensure all travel details are well-organized.
Task Coordination:
- Assist in task delegation and follow-ups.
- Keep track of project deadlines and deliverables.
- Collaborate with team members to ensure projects are progressing smoothly.
Requirements
Requirements:
- 2+ years of experience as an Executive Assistant or relevant administrative role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficient in using virtual collaboration tools and office software.
- Ability to work independently and proactively solve problems.
- Discretion and confidentiality when handling sensitive information.
- Flexibility to adapt to changing priorities and tasks.
- Familiarity with project management tools is a plus.
