Job Description - Administrative Services Associate

Administrative Assistants (Administration & Office Support)

The Administrative Services Associate assigned at the Security Control Room is required to be efficient and fluent in all Emergency Response Procedures. He/She has to have full intellectual capacity to operate and maintain all functions of the Security System and all communication procedures and policies. 

  RESPONSIBILITIES 

  • Man the Safety and Security Department’s central monitoring station 
  • Lead all radio communications between security personnel assigned at Newport Entertainment and Commercial Complex, HIEX Hotel and Star Cruises Center.
  • Maintain records of all incoming / outgoing calls and relay all messages and instructions to all Security Officers without delay
  • Dispatch Security Personnel to a location of an alarm in accordance with the companies Emergency Response Procedures
  • Maintain a detailed log of all activities observed and reported ensure all filing of records for proper storage
  • Ensure that all files, databases and monitoring log books are consistently updated
  • Maintain confidentiality of all reports and information received and discussed inside the Security Control Room
  • Manage and Operate Radio Communications, Key Management System and Card Access System on a shift by shift basis
  • Report all defects of Radio Communications, Security Alarm System, Key Management System and Card Access System to the Security Officer for proper action and in like manner, maintain a list of maintenance repairs or parts replacement
  • Provide communications coverage and to act as central communications room during crisis management scenarios
  • Assist in the implementation of all other provisions, house rules, standing orders, policies and instruction from upper management
  • Responsible for the dissemination of all official communications, instructions and circulation of all internal and external security communications and ensure utmost confidentiality of security documents and information
  • Maintain a vigil of all monitors, radio telephones and safety systems to ensure premises are safe and secure

QUALIFICATIONS

  • Candidate must be College Graduate of any four (4) year course
  • Has excellent communication and interpersonal skills
  • Proficient in Microsoft Office such as: Excel, Word, PowerPoint
  • Adaptable and can handle stressful and high pressure situations
  • Willing to work on shifting schedules, holidays and/or weekends
  • Ability to multitask, prioritize and manage time effectively
  • Fresh graduates are welcome to apply
