Job Description - Associate Director of Sales

Organization- Ronil Summary Operational:
  • Assists and coordinates all selling activities and communicate these activities throughout the hotel.
  • Maintains a database of local, national and international group, catering and conference leads and ensures implementation of appropriate sales development and acquisition activities.
  • Makes sure that all the sales proposals, collateral, digital tools, and other sales communications are in line with the hotel's and HI's brand standards, and up to date in terms of information.
  • Be aware of community, business, political and social factors that may affect the hotel's financial performance.
  • Ensures room and banquet space inventories are reviewed weekly and that strategies are formulated to fill low occupancy periods.
  • Follows the established hotel policies and procedures when signing contracts on behalf of the Marketing and Sales Department.
  • Attends major travel, trade and corporate functions to network and promote the hotel.
  • Plans and executes sales trips based on business priorities.
  • Maintains current and obtains new accounts for the hotel.
  • Entertains existing and potential customers and ensures that other Sales personnel entertain customers based on business priorities.
  • Assists in creating a high level of exposure for the hotel through direct sales solicitation, telephone contact and written communication.
  • Delegates appropriate duties and responsibilities to employees so as to equip, nurture and develop them whilst ensuring standards of operation and safety are maintained.
  • Provides accurate information to Coordinators for the monthly consolidation report.
  • Works closely with other management personnel in a supportive and flexible manner, focusing on the overall success of the hotel and the satisfaction of hotel guests.
  • Exercises responsible management and behaviour at all times and positively representing the Hotel management team and Hyatt International.
Administrative:
  • Assists in the implementation of the hotel's Sales Strategy (goals, tactics and actions) to achieve and exceed forecasted revenue figures in Rooms, Food and Beverage, and all other revenue departments.
  • Ensures Sales activities are aligned with the Corporate Marketing Strategy, and that the Hotel Actions have been implemented where appropriate.
  • Represents Sales function in the absence of the Director of Sales.
  • Assists in the preparation and update of the Departmental Operations Manuals.
  • Ensures sales files and systems have correct booking procedures, including group room and meeting programme history, contractual agreements, room block analysis, credit and payment documents, etc.
  • Attends regular departmental communications meetings and ensures that departmental briefings and meetings are effective and conducted as necessary.
Customer Service:
  • Monitors that all hotel employees deliver the brand promise and provide exceptional guest service at all times, providing positive and constructive feedback as necessary to the respective Head of Department.
  • Ensures that Sales employees also provide excellent service to internal customers in other departments as appropriate.
  • Handles all guest and internal customer complaints and inquiries in a courteous and efficient manner, following through to make sure problems are resolved satisfactorily.
Financial:
  • Maximises employee productivity through the use of multi-skilling, multi-tasking and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests.
  • Assists with the preparation of the annual sales plan.
  • Assists in monthly sales report and reforecast.
  • Assists in sales resources and funds, and control departmental costs.
  • Ensures that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.
Marketing:
  • Assists all the sales strategy, tactics, and action implementations, complying with the Smart Selling approaches, in order to create a strong and disciplined sales team, and to achieve the sales goal.
  • Monitors and evaluates local, national and international market trends, and the competitor hotels' sales initiatives, in order to make sure that the hotel's marketing and sales remain competitive and at the cutting edge.
  • Assists to manage all the key sales accounts and groups, evaluates them based on sales account analysis prepared by Marketing Manager – Strategy / Marketing Analyst, and makes strategy for pricing, inventory, and sales resource allocation.
  • Actively participates in sales meetings, develops and adjusts sales account and pricing strategy.
  • Ensures the best use of technology including Delphi or other sales and catering systems, and that data is clean.
  • Coordinates and executes acquisition, developments, and sales retention.
  • Conducts regular market surveys and research on competitors.
People:
  • Assists in the recruitment and selection of all Sales employees, following hotel guidelines when recruiting and using the competency-based approach to select employees.
  • Ensures the punctuality and appearance of all Sales employees, making sure that they wear the correct uniform and maintain a high standard of personal appearance and hygiene, according to the hotel and department's grooming standards.
  • Conducts annual Performance Development Discussions and supports employees in their professional development goals.
  • Plans and implements effective training programmes, including all the required Smart Selling Courses, for employees in coordination with the Training Manager and Departmental Trainers.
  • Maximises the effectiveness of every Sales employee by developing each of their skills and abilities through the appropriate training, coaching, and/or mentoring.
  • Encourages employees to be creative and innovative, challenging and recognises them for their contribution to the success of the operation.
  • Supports the implementation of The People Philosophy, demonstrating and reinforcing Hyatt's Values and Culture Characteristics.
  • Ensures all employees have a complete understanding of and adheres to employee rules and regulations.
  • Ensures employees follow all hotel, company and local rules, policies and regulations relating to fire and hazard safety, and security.
  • Supports the implementation of changes as a result of the Employee Opinion Survey.
  • Assists in the implementation and ongoing monitoring of Personal Business Plans for all Sales employees.
  • Ensures that other Sales employees work in a supportive and flexible manner with other departments, in a spirit of 'We work through Teams'.
Qualifications Ideally with a university degree or diploma in Marketing or Hospitality/Tourism management. Minimum 2 years work experience as Associate Director of Sales or Senior Sales Manager. Good problem solving, administrative and interpersonal skills are a must.
