Facilities Admin

Integrated Facilities Management – Work Dynamics (SEA/Philippines)

What this job involves:

Providing onsite support

You will be the upper facilities management’s trusted right hand on all facilities-related activities. You’ll do this by assisting your facilities coordinator / Manager to monitoring overall open and overdue work order status, Utilities consumption tracking, conduct and coordinate regular Vendor performance management scoring for the team. Maintain and developing good relationship with vendors and building management and any other ad-hoc duties as assigned whenever required depending on business requirements.

Support the Site lead in budgeting and forecasting of OPEX and CAPEX Works, sourcing of ad hoc purchases. Inventory management: Purchase and ensure the janitorial and other office supplies are always in stock, keep track of inventory of events and other décor items. Collaborate with MAC team to manage and coordinate moves, additions, and changes within the office and to provide accurate and timely reports and space data. These are challenges that will be thrown at you. You, too, will always have an eye on this, contributing suggestions as they arise.

You’ll also lend the team a big hand by providing admin support including creating purchase order, compiling all the quotation, delivery order, service report and invoices in compliance to all company/client procurement processes. Verify and track timely submission and payment of vendor invoice. Support the Site lead in contract drafting and renewal process finance report duties, basic filing of documents and coordination within the team. Also, part of your job scope is to hit key performance indicators and meet service level agreements.

Coordinate and handle request/ feedback, with prompt respond and follow up

to identify their facility-related enquiries and requirements. Liaise with requestor and receptionist to support the development of and understand the requirements for each event, including coordination with team/vendors, last minute logistical needs, ensuring effective set-up/execution of event and providing course correcting instructions/directions, when needed. Assist in collecting post-event feedback from requester.

Strong organizational and analytical skills. Ability to provide efficient, timely, reliable, and courteous service to customers?
