Job Description - Analyst, Controllership

Charge

The Procurement Analyst is responsible for supporting different departments at Athena by processing their requisitions for tools, products, etc, which are instrumental in the achievement of their goals.

Responsibilities

  • End-to-end Procurement Processing
    • Sourcing of vendors
    • Handling of vendor negotiation and contract
    • Vendor accreditation
    • Daily monitoring of the Purchase Requisition requests (internal)
      • Ensure and validate details in placed in the PR form
      • PR Acknowledgement/Screening (items and vendors)
      • Communicate and coordinate with the suppliers
      • Product research, submit request for quotation from vendors, Executive/ComparIson recommendation
      • Purchase order creation for vendors/suppliers
  • End-to-end PO processing
    • Securing approval of quotation for the awarded vendor
    • Sending of approved quotation to the vendor
    • Creation of PO in the system and sending for approval
    • Once PO is approved, Inform AP for payment processing
    • Once paid, inform vendor and send payment proof
    • Once goods are ready, arrange for shipment to the recipient with vendor and courier
    • Ensure complete documents are available to close the PO and AP related entries

About You

  • You are an excellent communicator.
    • You have good written and verbal communication skills and are comfortable working with multiple stakeholders.
    • You are able to write succinct reports and present data in a very clear manner (includes proficiency with digital documents and spreadsheets).
  • You are highly resourceful.
    • You can perform vendor research and selection in order to get the best deals and beneficial purchase agreements for the company.
    • You can adapt quickly to changing resource requirements.
    • You have the ability to multitask.
  • You have a continuous improvement mindset.
    • You don't rest on your laurels when things are going well. You are always looking for opportunities for improvement—and acting on those opportunities.
    • You maintain high-quality standards so you ensure that you consistently provide high-quality output.
  • You have great organizational skills.
    • You are highly organized. You collate and analyze data/information rigorously.
    • You follow up in a timely manner and keep track of the progress of all requisitions to ensure that nothing falls through the cracks.
  • You are collaborative.
    • You can successfully work with stakeholders from different departments.
    • You have the ability to establish and maintain cordial working relationships with vendors and effectively supervise vendor activities.
