Job Description - AUDIT TEAM LEAD

Finance and Accounting

AUDIT ASSOCIATE

Responsibilities:
  • Performs various financial and operational audit procedures to ensure internal controls are implemented within the group
  • Reports key findings and provides branch/department performance based on conducted audits
  • Provides recommendations for improvement of internal controls, financial reporting, and Group operations
  • Conducts business understanding and process walkthroughs for audit reference
  • Conducts monthly financial and operational audits of stores and departments within the Group
  • Conducts ad hoc financial and operational audits of departments within the Group
  • Conducts investigation on reported fraud and other financial/operational issues that require independent assurance
  • Witnesses and reviews physical inventory counts within the Group
  • Witnesses and reviews disposal of fixed assets and inventories (whenever applicable)
  • Witnesses destruction of confidential files, pertaining to internal and/or external parties
  • Documents findings and recommendations through audit reports presented to the branch/department
  • Follows through and documents resolution of audit findings
  • Proposes additions to and improvements of audit programs and procedures.
  • Performs other duties as assigned.
Qualifications:
  • Any Business course, preferably with a major in Internal Audit, Business Administration, Finance, or Accounting.Accounting Systems

AUDIT TEAM LEAD
Responsibilities:
  • Prepares monthly schedule of branch and department audits
  • Conducts monthly financial and operational audits of stores and departments within the Group
  • Conducts investigation on reported fraud and other financial/operational issues that require independent assurance
  • Conducts Mystery Shopping audits in coordination with Operations and Customer Service
  • Documents findings and recommendations through audit reports presented to the branch/department
  • Follows through and documents resolution of audit findings
  • Prepares monthly, quarterly, semestral and annual summary of audit findings
Qualifications:
  • Any Business course, preferably with a major in Internal Audit, Business Administration, Finance, or Accounting.Accounting Systems
  • Graduate of any Business course, preferably with major in Internal Audit, Business Administration, Finance or Accounting
  • With at least 4 years of experience
  • Adept knowledge in MS Office
  • Good communication and presentation skills
  • Has business and process walk through, Risk assessment, Development of audit program and procedures
  • Strong analytical and planning skills

LIAISON ASSOCIATE
Responsibilities:
  • Submits CMSR prepared by AR Team to related Lessors.
  • Pays over the counter billings to Vendors (e.g. rents, utilities.
  • Collects Customer Payments whenever necessary.
  • Delivers documents as instructed.
  • Have documents notarized as needed.
  • Filing and payment of taxes.
  • Performs other duties as assigned.
Qualifications:
  • At least College level, Vocational, Associate or Bachelor's Degree
  • Computer literate
  • Know how to use MS Office
  • With Motorcycle
ACCOUNTS PAYABLE ASSOCIATE
Responsibilities:
  • Verifies validity and correctness of invoices from Foreign Vendors, as well as proper charging to appropriate accounts and cost centers.
  • Prepares and monitors Group's Foreign Cash Position and Foreign Currency funding requirements.
  • Validates invoices based on supporting documents for Foreign Vendor payments.
  • Determines accounts and cost centers, inputs, and posts entries for payments in Accounting System of payments thru Accounts Payable Vouchers.
Qualifications:
  • Graduate of Finance and Accounting-related course
  • At least 1 year of related experience
  • Knowledge in SAP is an advantage
  • Knowledgeable in tax treatment of vendor payments

People Management

LOSS PREVENTION OFFICER

Responsibilities:
  • Monitor and authorize entrance and departure of employees, visitors, and other persons to guard against theft and maintain the security of premises
  • Report daily activities and irregularities, such as equipment or property damages, theft, presence of unauthorized
  • Conduct daily briefings to outsourced security guards to align responsibilities and company expectations. Initiate preventive measures and information to ensure the safety and security of company properties and employees
  • Conduct risk assessment and determine threats to the company and offer a preventive measure
Qualifications:
  • At least 2-3 years’ experience
  • Preferably in the retail industry
  • With a strong work ethic and discipline
  • Possess good social skills
  • Observant, sharp, and attentive
  • Ability to work independently and make sound decisions

Operations

CUSTOMER SERVICE ASSOCIATE (STORE BASED)

Responsibilities:
  • Responds to customer inquiries by understanding inquiry; reviewing previous inquiries and responses; gathering and researching information; assembling and forwarding information; verifying customer's understanding of information and answer
  • Directly interacts with customers to provide information on products and/or services, resolve problems, and offer general assistance
  • Handles complaints, document incidents, and report requests for further assistance to superiors
  • Records customer inquiries by documenting inquiry and response in customers' accounts
  • Prepares for customer inquiries by studying products, services, and customer service processes
Qualifications:
  • At least 2 years in College/ College Degree
  • Knowledgeable in Microsoft Office programs
  • Must be fluent in verbal and written English and intermediate in verbal and written Tagalog
  • Strong analytical and planning skills
CUSTOMER CARE ASSOCIATE
Responsibilities:
  • Meets customer requirements within the store premises and provides accurate and up-to-date information on our products and services
  • Attends to customer needs such as book inquiries, title location, and book content, and recommends the appropriate books and merchandise
  • Arranges and displays books and merchandise in the respective sections
  • Recommends new titles and re-orders existing titles based on inventory, sales movement, and customer needs, interests, and requests
  • Participates in shipment-receiving procedures by checking the accuracy of shipment contents, placing the proper price tags, and performing other related tasks
  • Acts as a reliever for counter duties (i.e. baggage, customer service) and assists in the implementation of marketing activities within store premises
Qualifications:
  • At least College level of any course
  • At least 1 year related experience
  • Book savvy
  • Excellent customer service skills
  • Pleasing personality
  • Knowledgeable in merchandise display

BRANCH CASHIER
Responsibilities:
  • Receives payments in the form of cash, check or credit card transactions for all merchandises purchased / rendered
  • Assists customer with various question typically related to payment, account balance or item purchased
  • Balances cash drawer
  • Provides the daily sales report
  • Prepares and performs cash and check deposits
  • related reports, such as credit charge slip summary, EWT summary, and O.R.
  • Performs store opening and closing activities, and provides assistance in counter operations
  • Performs retail services by:
  • Processing cash and sales transactions accurately and according to established procedures
  • Processing sales transactions including departmental, sponsorship, and general charges
  • Processing refunds, returns and exchanges of texts and merchandise according to established policies while being attentive to the benefit of the Bookstore operation and reputation as well as customer satisfaction
  • Demonstrates maximum awareness of the impact of errors on the branch’s financial well- being and promptly taking corrective action when necessary and notifying buyers of SKU or pricing problems
Qualifications:

Merchandise, Planning and Control

MERCHANDISE, PLANNING AND CONTROL OFFICER (inventory)

Responsibilities:
  • Performs administrative tasks as well as other related functions/projects the that may be assigned by Management.
  • Point person of the all the Encoding Supplier invoices
  • Print and issue payment slip for barcode request of our local supplier
  • Assists the Assistant Merchandise Planning & Control Manager in checking of replenishment. Especially when he/she is not around
  • Encodes incoming shipment from US
  • Encodes & receive titles that are not in the list or excess from the shipment
  • Encodes & receive some books from the GM & buyers of their sample copies
  • Encodes & receive Diamond comics
  • Checking & posting of price for incoming shipments
Qualifications:
  • Graduate of any 4-year course
  • With at least 1 year of experience
  • Good communication skills
  • With technical knowledge and inventory control skills

Purchasing

ASSISTANT BUYER - CHILDREN

Responsibilities:
  • Select and provide range that will sell in the store of suppliers assigned by the Head Buyer
  • Maintain healthy stock of assigned suppliers - review sales regularly and manage stock levels
  • Analyze consumer buying patterns by means of sales history and predicting future trends through research
  • Assist Head Buyer in allocation of incoming shipments according to stock turn performance of subcategories (change quarterly)
  • Help Head Buyer in liaising with shop personnel to ensure titles and range supply meets demand
Qualifications:
  • Graduate any four-year course, preferably Management or Business related field
  • At least 1 year of related experience in the retail industry
  • Strong and effective verbal and written English communication
  • Good market research and analytical skills
  • Good negotiation skills
