Job Description - Payroll Support Advisor

HR Services Americas Region offers a position for an experienced Payroll and HR Operations professional to utilize process control and leadership skills, while developing competencies essential to a multi-disciplined professional going forward. In addition, they should possess general knowledge of payroll processes, federal and state taxation laws, benefits, and downstream financial implications are essential. This position will also provide an opportunity to network with counterparts across all lines of businesses in conjunction with the global HR Operations organization, to ensure robust E2E process design and controls.

What's the role

Management of cases according to established ways of working, including:

  • Using the Salesforce tool to log queries and updates, create tickets, and ensure closure of tickets
  • WIPS management, keeping customers updated on the status of open cases
  • Responsible and accountable for of E2E process
  • Handing-off cases to other teams in HR Operations as required
  • Maintaining relationships with third party service providers
  • Meeting establishes KPI's and SLA's
  • Effective partner relations with both the internal US business partners as well as external parties. Escalating complex queries to senior advisors, APS Payroll Specialist, and T3 teams as needed.
  • Liaising with HR Advice, Employees, and Line managers, as required in order to resolve cases.
  • Ensure all Financial controls and Data Privacy Rules are accurately executed to fully address the business risk in an environment with high dollar materiality and safe guard from Data breaches.
  • Contribute to overall strategy and direction of HR Operations.
  • Effective problem resolution, change management and communications.
  • Managing multiple priorities and competing demands.
  • Actively participating in and promoting a culture of innovation and Enterprise First behaviors with a continuous improvement mindset.
  • Sharing best practices within the team, striving for continual improvement in service delivery, participating in improvement initiatives.
  • Working and communicating in a global, virtual organization with key stakeholders.
  • Conduct audits and review relevant audit reports and raise concerns as needed.

The position will be responsible for executing business assurance processes and ensuring sustainable SOX/FCM compliance and controls relevant to global and local processes. Execution of Local HR Processes, in line with existing policies and procedures, assuring high quality data management in Shell People, as well as documentation, including on-going support to employees and Line Managers.


This position will work closely with areas of Americas Payroll Operations in a supportive team environment to meet the various deadlines for processing and reporting of payroll and tax results, partnering with HR Operations, and special projects as required. This is also a full-time position with set work hour requirements and required overtime during certain peak periods.

What we need from you

  • Have worked with US Payroll Tax or any similar discipline like Payroll Accounting who has a comprehensive understanding of tax laws
  • Excellent in analytical and time management skills
  • Can influence others through effective communications and provide appropriate challenge.
  • Can handle complex and confidential individual cases with minimal supervision and use independent judgment.
  • Have an operational excellence mindset, KPI monitoring, etc. to drive ESSA across all areas of Operations.
  • Ability to evaluate, recommend and implement new and/or existing processes and controls.
  • Ability to manage multiple international stakeholders, including sensitive or challenging discussions.
  • Able to work under pressure, whereby setting priorities is key to deliver quality output on time.
  • Adapts in a fast-paced environment with a variety of stakeholders, both in terms of seniority, location, and discipline.
  • Amenable to report following a night-shift working pattern supporting Payroll team in the United States. Following US holiday.


Job Knowledge, Skills & Experience:

  • At least 3 years of relevant experience handling HR payroll
  • Strong communication skills in English (good command, both written & oral)
  • Previous experience in Shared Service/Business Operations, HR Payroll Service environment or relevant experience in a multinational environment is an advantage.
  • Strong analytical skills
  • Sound business and commercial acumen
  • Commitment to continuous improvement
  • Excel, Access, Word, Outlook, and strong SAP knowledge
  • Strong organization skills and multitask skills

Specific challenges of operating in this environment include:

  • Performing effectively to deliver with a constant and demanding workload
  • Customer focus in a culturally diverse environment and adhering to BSE principles.
  • Constant & demanding workload
  • Building a level of HR knowledge (e.g. policy and procedures etc) as required for successful execution of the role
  • Strong SAP knowledge will need to be built quickly.
  • Need to be familiar with and have awareness of geographical HR policies, needed to support their population (ie Global Local knowledge).
  • High level of ownership, resilience, empowerment and discretion to manage and resolve issues raised by employees, line managers, local HR in a quick and effective way.
