Job Description - Accounts & Admin Support

Job Responsibilities
Describe the job role and the day to day tasks involved. There are 3 main aspects to the role: Payroll Officer:
- Send out weekly reminders for timesheet sign off to shift approvers
- Ensure staff have entered hours and ensure shift approvers have signed off on hours in time for payroll processing
- Review shift entries and follow up on any discrepancies with shift approvers and/or employees.
- Process the weekly and fortnightly payrolls within the required timeframe, whilst maintaining confidentiality and security of payroll data
- Follow up / rectify any pay discrepancies that may appear following a payroll run.
- Respond, manage and escalate any payroll issues/queries as necessary.
- Work with management to streamline and document payroll processes
- Serve as a point of contact for employee inquiries related to payroll matters and handle queries with promptness and precision Accounts Payable Officer:
- Invoice clients based on employees hours worked
- General book-keeping
- Monitoring payment and invoice processing to expected time periods and following up with clients as required to ensure payments are made on time.
- Performing reconciliations of bank accounts, and assisting with month-end closing processes. Admin Support:
- Manage onboarding process by creating and maintaining staff personnel files through our onboarding system. This includes ensuring all relevant credentialling documents are collected, reviewed and monitored for expiry.
- Supporting with logistics management where necessary which includes engaging our travel coordinators to book travel for an employee where necessary.
- Running reports requested by management through our HR system. Qualifications
Describe the qualifications the staff must have in terms of skills and capabilities
- High level computer skills, including Microsoft suite (particularly excel)
- Experience in the FoundU application and / or Xero desirable Competencies/Personality Traits
- Ability to work independently and collaboratively with multidisciplinary teams.
- Ability to pick up information and learn new systems quickly
- Strong time management skills and the ability to prioritise workload demands.
- Ability to manage a large portfolio of clients
- Excellent communication (written and verbal) and interpersonal skills Prior Experience
Describe the prior working experience a candidate should have.
- Previous experience in payroll and invoicing
- Previous experience working in human resourcing or for a human resourcing / labour hire / workforce company / health related business (Preferred but not mandatory)
- Experience with nursing awards or healthcare worker awards (preferred but not mandatory) Performance Measurement
