Responsibilities
Communication Management: Efficiently manage email correspondence and handle phone calls when necessary to provide top-notch customer service to both internal and external stakeholders.
Financial Administrative Tasks: Perform basic bookkeeping, budgeting, manage accounts payable/receivable (AP/AR), and oversee payroll management to ensure financial health and compliance.
Documentation and Reporting: Draft reports, official correspondence, and other documents as needed. Ensure accuracy and professionalism in all written communications.
Meeting Coordination: Attend meetings on behalf of the CEO, take detailed notes, and ensure follow-up on action items. Assist in preparing meeting materials and presentations.
Policy and Procedure Development: Support managers and supervisors in the creation and implementation of policies and procedures to optimize organizational efficiency.
Travel and Expense Management: Coordinate travel arrangements, manage budgeting for trips, and handle reimbursements, ensuring compliance with company policies.
Vendor and Supply Chain Management: Address and solve issues related to vendors, including shipment discrepancies, billing, and statements, to maintain smooth operational processes.
Administrative Support: Undertake a wide range of administrative tasks to support the CEO and ensure the efficient functioning of the office.
Marketing Support: Create basic marketing materials as needed, assisting in promoting the agency's services and enhancing its market presence.
Recruitment and HR Support: Oversee department hiring processes, including job postings, screening, and coordinating interviews, to support team growth and development.
Ad-hoc Tasks: Be ready to take on other related duties as assigned to support the CEO and the agency's evolving needs.
Requirements
Proven experience as a Virtual Assistant, Executive Assistant, or similar role, preferably within a marketing or related industry.
Strong command of office software including Slack, Google Workspace, Asana, Quickbooks pref
Excellent communication and interpersonal skills, with the ability to interact effectively with a range of stakeholders.
Outstanding organizational and time management skills; capable of multitasking and prioritizing work effectively.
Experience in basic bookkeeping, budget management, and administrative procedures.
Creative ability to assist with basic marketing materials and support promotional activities.
Detail-oriented with a problem-solving mindset and the ability to handle complex schedules and logistics.
