Job Posting Description:

We’re looking for a HR Operations Specialist to join our HR Admin team at MBPS. In this role, you are expected to

  • To support both Recruitment and Workday Operations activities
  • The coordinator will also provide general assistance to the HR Operations team

Key Responsibilities:

  • Provide administrative support to Talent Acquisition Team while developing an understanding of Manulife's products and businesses.
  • Responsible for the centralized collection of approved hiring requisitions and posting of positions in Workday.
  • Participate in the coordination of New Hire Orientation; reporting and tracking as required.
  • Provide support with pre-employment screening checks by actively tracking the process of the checks, billing costs, etc.
  • Be a subject matter expert in Workday as it relates to template management (i.e. offer management)
  • Manage Recruitment Coordination Activities such as Interview Arrangement, Raise/Adjudicate Background Check, Facilitate On boarding and Orientation.
  • Assist with recruitment operations related special projects as assigned.
  • Format job descriptions for internal/external and niche site postings
  • Coordinate and schedule Interviews between Applicants and Hiring Managers
  • Handle logistics for interview room reservations
  • Facilitate assessment testing to applicants.
  • Initiate and complete pre-employment screening process, tracking, follow-up, and costs
  • Initiate and manage background checks by coordinating with applicant and background check vendor.
  • Create and distribute employment offer letters and offer packages.
  • Manage On boarding & Orientation process tracking & coordination (where & when applicable)
  • Align with other functional HR departments to ensure an effective flow of information and a consistent approach.

Workday Coordination

  • Delivers HR services by handling employee requests and inquiries.
  • Supports daily HRIS operations and performance (Inputs, keeps track and maintains accuracy of employee information) with strict security compliance in handling sensitive information.
  • Main Point of Contact of Workday Philippines.
  • Processes data entry and maintains data integrity with attention to quality and quantity.
  • Resolves escalated concerns with the centralized HR Service Center (AskHR) within the agreed SLA/TAT.
  • Assists HR, managers and employees with inquiries related to systems access and usability, reports generation, policies and procedures to maximize employee performance, achieve organizational effectiveness, and ensure legal compliance.
  • Supports Workday integration and other HR systems for daily operations; e.g. Workday, Salesforce, and SharePoint.
  • Validates HRIS solutions by developing and completing test cases (Regression).
  • Supports major annual projects of the company (Annual Compensation Cycle, System Updates and HRIS’ UAT).
  • Updates process documents, process maps and work instructions regularly.
  • Develops HR solutions by collecting and analyzing information and recommending courses of action for HRIS and other admin
    related issues and concerns.
  • Provides back up support for other Workday Data Coordinators.
  • Completes ad-hoc projects, reporting and tasks as required.
  • Documents incident reports and resolutions to maintain accurate HR records.

Qualifications

  • Graduate of a bachelor’s degree
  • 1-2 years HR experience preferably in training/administration/recruitment
  • Working knowledge of various policies and practices is a plus
  • Working knowledge of HR Systems such as Workday, Compass
  • Proficient in Microsoft Office Applications
  • Excellent oral and written communication skills in English
  • Excellent customer service skills
  • Well-developed time management skills with ability to handle multiple priorities; can work independently
  • Strong organizational skills
  • High attention to detail and accuracy
  • Strong sense of urgency and flexibility
  • Willing to work day shift
