Job Description - Purchasing and Importation Head

Importation Head (with retail background)

Management - Area/Multi-site (Retail & Consumer Products)

The Importation Head (with retail background) is responsible in managing effective procurement of goods and services at the most economical price, the best terms and conditions and consistent with quality and delivery requirements. He or she is also responsible in developing purchasing strategies, maintaining positive relationships with suppliers and in optimizing purchasing activities and processes. He or she is also responsible for overseeing company's importation shipments.

Duties and Responsibilities

  • Responsible in implementing sourcing and purchasing strategies in order to improve company’s cost competitiveness, product quality and delivery services.
  • Ensures that purchase requisitions are served within the purchasing lead time and requisitioners are being provided with up-to-date information on the status of their requisitions.
  • Negotiates contracts with accredited suppliers to achieve the most favorable terms of business for the Company.
  • Reviews contracts for the supply of goods and services to ensure that the terms and conditions are being carried out effectively. Renegotiate terms when necessary.
  • Sources for alternative suppliers in order to ensure supply availability and cost. Ensuring continuous flow of supply of materials and timely response to purchase request, adheres to “no stock out of materials” policy.
  • Checks/validates purchase orders prepared by buyer/staff based on authority limits prior to endorsement to approving officers.
  • Conducts data analysis of annual and quarterly spends on materials purchases, mode of deliveries, support and services and other overhead expenses.
  • Recommends initiatives to save on costs and generate savings for the Company.
  • Maintains subject matter expertise in all import operations and legal requirements including availment of the applicable incentives.
  • Ensures that the shipment adheres to customs rules and regulations. Monitor and respond to all customs inquiries and requests.
  • Sources for the most advantageous customs clearing agents that will provide the best service & cost to the company.
  • Monitors prevailing market/industry/technology trends that would affect cost of commodities and/or cause potential disruptions in supply. Keeps abreast of any new regulations and legislation on matters that would affect costs and import rules/procedures that would also affect supply.
  • Performs supply research and development work that would involve the development of new supply sources and/or alternative materials for accreditation of new suppliers.

Qualifications

  • Graduate of BS Commerce, BS in Customs Administration or any business-related course.
  • Must have 5-10 years related work experience from retail environment
  • Has relevant background experience in Importation and Procurement.
  • Strong knowledge and command of import, general procurement, documentation, compliances and practices.
  • Good understanding of the Importation Business Supply Chain, Market Research, business trends, and logistics operations.
  • Physically and mentally fit to perform the assigned tasks as the job role may require. Willing to learn and can work with the team.
  • Must have strong buying skills, analytical and influential skills. .Must have the ability to draw conclusions based on analysis.
  • Must have strong leadership skills.
  • Must have strong focus on results and must have high degree of business acumen.
