Job Description - Team Head - Cargo (International)

Freight/Cargo Forwarding (Manufacturing, Transport & Logistics)

NOTE: Candidate must be amenable to relocate to UAE for this role.

JOB DESCRIPTION:

CARGO / WAREHOUSE OPERATIONS

  • Supervise Warehouse Operation (warehouse housekeeping and maintenance.)
  • Supervise the dispatching and picking up of Cargo
  • Supervise the scanning out of all boxes and container loading operations.
  • Ensure that all transactions are encoded and posted (POS- Point of Sales)
  • Ensure the POD Proof reading details against what is written in the box.
  • Monitor the Freight requirement, truck delivery and pick up scheduling.
  • Ensure all boxes are secured with appropriate tag and arrange in a professional manner.
  • Responsible for administration and purchasing requirements; ensure necessary supplies and inventories are being made.

SPECIFIC RESPONSIBILITIES:

APPROVAL OF LEAVES

  • Approval of SL/VL requests and ensure members’ compliance to Policies in requesting of Leaves.
  • Cancellation or re-scheduling of approved leaves to address operational concerns.

APPROVAL OF OTHER REQUESTS AND DOCUMENTS

  • Approval of all requests made by members of the Team provided within the specified limit of the team such as repairs, supplies, materials, etc.
  • Approval of Petty Cash Replenishments before final approval of the Immediate Head.

IMPOSITION OF SANCTIONS

  • Issuance of minor, moderate and major offenses to the Associates in coordination with the Head for guidance.
  • Monitoring of attendance and issuance of necessary memo like tardiness, AWOL, loitering etc.

DELEGATION OF WORK AND RE-ASSIGNMENT OF MEMBERS

  • Authorized to assign key roles and tasks to any member of the team who can help the team to carry out over all operational responsibilities.
  • In close coordination with the Team must see to it that there are checks and controls on how functions are delegated to ensure smooth flow of operations.
  • Assign or re-assign members’ job functions and responsibilities. Such movements and re-assignments must be coordinated with the immediate based on the demands of operations. Head for documentation and necessary turn-over of accountabilities.

MONITORING OF COMPANY ASSETS:

  • Responsible for ensuring cleanliness and proper monitoring of all assets issued by the company to the team such as but not limited to Vaults, computers and its accessories, vehicles etc.
  • Promptly report discrepancies, lost, or damages of the immediate head for proper inventory.

MONITORING OF BRANCH OPERATION

  • Team Head must be well versed of all operational policies and guidelines set by the company.
  • Ensure that all the team is strictly implementing these policies. He shall ensure that any member violated he policies are disciplined.
  • Monitoring of branch’s daily operations compliance
  • Ensures branch daily submission of reports
  • Ensures branch’s cash sales and people’s monies are intact and accounted
  • Ensures branch’s proper level of inventory on supplies and materials.
  • Ensures branch’s proper turn-over of shipments.

HANDLING OF CUSTOMER SERVICE

  • To ensure immediate and excellent handling of complaints, Team Leaders are responsible in ensuring that all concerned Associate in the branches are well informed of the policies and are capable to handle and/ or settle complaints based on existing policy.
  • Ensures that all approved claims for refund are settled to the customers within 24 hrs.
  • Ensures proper submission of report and resolution

BRANCH DEVELOPMENT AND MARKETING ACTIVITIES

  • Responsible to look for possible new sites for business expansion, or other branch developmental projects such as relocation and marketing activities.
  • In case where his/her team has branch expansion or development, he shall assume coordination of construction policies with the Operations Manager/ Area Manager.
  • Coordination with Lessor regarding concerns on lease agreements.
  • Coordination with MKTG for concerns on marketing collaterals, supplies and equipments.
  • Application of branch business permits, registration and licenses.
  • Application of branch’s utility services.
  • Coordination with Area Manager on any branch structural concerns needed for immediate repair.

DECISION MAKING PROCESS

  • Whenever there are team’s operational conflicts or concerns: The Team Head may call for team’s meeting to discuss and get the team’s recommendation. This is to ensure active involvement of all team members especially if this involves conflicts in achieving team’s goal and objective and its handing process are not yet in place.
  • The team Head shall evaluate the team’s recommendation and shall decide on the matter with respect to existing company policies and guidelines. The Team Head may seek advice from the Head should he/she thinks that the matter is outside or beyond its authority.

MONITORING OF DELIVERABLES AND ACCOMPLISHMENTS

  • Ensure that all Job Processes are followed and monitors daily accomplishment of each of the Team.
  • It is the responsibility of the team leader to evaluate competencies and performance of each member of the team.
  • In the event that a member has been remiss in spite of the guidance and coaching of the head, the Team Head must report to the Head any observations and below work performance standards seen.
  • The Team Head must also ensure that all required reports are submitted by the members on time. The Team Head shall have the authority to reprimand any violations and negligence committed by the members.

RECORDS MANAGEMENT

  • Manage all records and database for reference, research and report purposes. This lmay include but not limited to archiving, developing templates, enhancing reports, accuracy of data, timeliness of submission, and methods of data gathering. Ensure confidentiality of records.

SUPPLIES & COST MANAGEMENT

  • Responsible for tracking and replenishing supplies ensuring inventory levels and cost stay within appropriate guidelines.
  • Purchase supplies and materials at the optimal price and delivery cycle while maintaining lowest possible inventory sales.
  • Responsible for the daily sales and expenses reconciliation and regular update on bank transactions, weekly reports of expenses and inventory.
  • Responsible for supervision, training, reward, sanctions and performance evaluation of the associates.
  • Implement OHS and First Aid Requirements.
  • Ensures effective implementation of the Quality System
  • May be assigned to perform tasks/duties/other works from time to time prohibited the relevant and necessary orientation or information is given.
