Job Description - Accounts Payable and Payroll Specialist

We’re hiring an AP & Payroll Specialist to join our growing Finance team in the Philippines!

Responsibilities:

Payroll

  • Handle end-to-end payroll processing using Sprout or manual computation.
  • Process semi-monthly payroll, annualization, and final pay.
  • Prepare the BIR Forms 2316, 1601C, 1604, alphalist, etc.
  • Submit 2316 and other reports as maybe required by BIR.
  • Ensure accurate and timely remittance of contributions and loans to SSS, Pag-IBIG, and PhilHealth.
  • Manage government benefit enrollments, compliance, and concerns (SSS, PhilHealth, Pag-IBIG).
  • Onboard new employees on payroll and Expense Reimbursement Policy.
  • Respond to payroll-related inquiries and resolve discrepancies.
  • Manage employee advances/staff loans and ensure monthly reconciliation.
  • Provide calculation of labour hire amounts for billing.
  • Stay updated with DOLE, SSS, Pag-IBIG, PhilHealth, and BIR regulations and advisories.

 

Accounts Payable

  • Process vendor invoices and employee reimbursements in accordance with company policies and Philippine tax regulations.
  • Ensure timely and accurate payment runs.
  • AP and credit card reconciliations.
  • Maintain vendor records and ensure proper documentation.
  • Coordinate with vendors and internal stakeholders regarding payments.
  • Handle month-end and year-end closing activities related to AP.
  • Provide assistance in Fixed Asset Management.

Other

  • Manage compliance tasks related to BIR, SSS, PhilHealth, Pag-IBIG, and DOLE—including legwork, admin tasks, and document submission as maybe required.
  • Maintain effective and timely manual filing of finance and payroll documents in the office.
  • Support audits and provide necessary documentation.
  • Perform other tasks as assigned by the Finance Manager or Head of Finance

Qualifications:

  • At least 2 years of work experience in a similar role.
  • Experience in Philippine payroll and accounts payable processes.
  • Detail-oriented with the ability to work effectively under minimal supervision.
  • Willing to work on AU shift and must be amenable to reporting onsite in Pasig (hybrid setup).
  • Experience with Xero and Sprout payroll systems is preferred.

  • This position follows a hybrid work setup—reporting onsite at our Ortigas office and working from home. Please note that a permanent work-from-home arrangement is not available for this role.
