ABOUT THE ROLE

We are seeking a highly organized, reliable, and detail-oriented Administration Assistant to support our growing Australian business. This is a dynamic, long-term role for someone who enjoys variety and is passionate about keeping things running smoothly behind the scenes. You will work closely with the existing offshore team and Australian business owner to manage schedules, coordinate travel, support admin and documentation workflows, assist with bookkeeping, and help organize personal and professional tasks. You will play a vital role in helping your clients stay efficient and focused.

Responsibilities

Calendar & Communication Support

  • Manage calendars, coordinate meetings, and schedule based on priorities
  • Monitor inboxes, flag important messages, and manage follow-ups
  • Prepare meeting agendas and track action items

Travel Planning & Logistics

  • Research and coordinate domestic and international travel
  • Organize flights, accommodation, transport, and itineraries
  • Handle changes, cancellations, and last-minute updates

Administrative & Document Support

  • Format documents, reports, and presentations
  • Assist with compiling proposals and meeting materials
  • Maintain templates, SOPs, and internal checklists
  • Manage digital documents via cloud platforms and tools like DocuSign
  • Track document status and coordinate return of signed agreements

Bookkeeping & Financial Admin

  • Record financial transactions and maintain accurate records
  • Reconcile bank and credit card statements
  • Provide basic support for financial reporting and decision-making

Personal & Lifestyle Support

  • Assist with scheduling personal appointments and reminders
  • Coordinate family calendars and liaise with service providers
  • Help with booking restaurants, researching gifts, and managing memberships

Project & Task Management

  • Track internal projects and deliverables
  • Maintain business contact lists and internal records
  • Improve workflows through templates and documentation support
  • Bachelor's degree in Finance, Accounting, Business Administration, Management, or a related financial or business field is highly preferred.
  • 1-2 years of experience in an administrative, assistant, or virtual support role.
  • Strong communication skills, both written and verbal, with the ability to articulate information clearly and professionally.
  • Proactive, dependable, detail-oriented, and tech-savvy
  • Exceptional organizational skills with a keen eye for detail and the ability to manage multiple priorities effectively.
